About the Role
As Executive Assistant, you will provide high-level support to senior leaders, acting as a trusted point of contact and ensuring their day-to-day activities run smoothly.
You will manage complex diaries, coordinate meetings and travel, prepare documentation, organise events, and handle correspondence with professionalism and discretion. The role involves working with senior stakeholders across a complex organisational structure, requiring strong judgement, excellent communication skills, and the ability to quickly understand business priorities.
Alongside supporting senior leaders, you will contribute to the wider administrative and operational activities of the team, helping to deliver an outstanding internal service.
Key Responsibilities
Executive Support
- Serve as the first point of contact for allocated senior leaders.
- Proactively manage busy and complex diaries, ensuring schedules are effectively coordinated.
- Arrange meetings, appointments, travel, accommodation, and related logistics.
- Review and prioritise incoming emails, correspondence, and telephone enquiries.
- Draft, prepare, and coordinate documents, briefings, presentations, and schedules.
- Support senior leaders in managing competing demands and priorities.
- Organise and coordinate meetings and events, including venue booking, catering, and logistics.
- Attend meetings when required and provide administrative support, including note-taking and follow-up actions.
- Maintain confidentiality and professionalism when handling sensitive information.
- Provide wider administrative support across the department.
- Assist with the organisation of internal and external meetings, both online and in person.
- Process invoices and expenses against agreed budgets.
- Ensure compliance with data protection requirements and organisational policies.
- Collaborate with colleagues to provide cover and support when required.
- Undertake additional responsibilities appropriate to the role.
- Proven experience supporting senior leaders as an Executive Assistant or Personal Assistant.
- Strong diary management experience, balancing multiple priorities and deadlines.
- Experience organising meetings, events, travel, and logistics.
- Excellent organisational and time management skills.
- Strong communication and interpersonal abilities.
- Experience handling confidential and sensitive information.
- Ability to work independently, use initiative, and exercise sound judgement.
- Comfortable working under pressure and adapting to changing priorities.
- Experience processing invoices and working with budget information.
- Advanced Microsoft Office and Microsoft 365 skills, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and OneDrive.
- Ability to build strong professional relationships with a diverse range of stakeholders.
- Experience working within a complex organisation, membership body, charity, public sector
- Experience supporting leaders within governance-focused environments.
