OverviewLegal Secretary - Corporate at Kirkland and Ellis
Position OverviewPerforms a variety of secretarial and administrative duties for attorneys to whom assigned according to established policies and procedures. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters.
Job Responsibilities
Utilises the Firm''s computer systems and software
Follows the Firm''s document processing methods and procedures, creates, spell checks, edits and proofs of work product to ensure accuracy and completeness
Transcribes from handwritten materials
Establishes and maintains calendar and deadline reminders
Organises and prioritises telephone calls, mail, documents
Deals with incoming/outgoing mail
Schedules and organises activities such as meetings, conferences, and departmental events
Books travel/accommodation arrangements, prepares itineraries and follows up on travel expenses for payment
Maintains e-filing and management of inboxes, and records management
Opens new files and maintains client and general files; conducts periodic reviews for storage or close of files
Updates client contacts regularly using Client Relationship Management system (CRM)
Ensures attorneys weekly timesheets are entered in a timely manner
Prepares legal documents and provides administrative support for partners and attorneys
Exercises discretion and judgment, prioritises effectively and handles requests from multiple areas
Maintains confidentiality of attorney-client information
Collaborates with administrative support staff
Provides additional support during holidays and other peak periods
Performs overload document work, filing, photocopying as requested
Attends regular technical training and mandatory meetings or townhalls
Other related duties and projects as assigned
Education, Work Experience, Skills
Proven legal secretarial experience with understanding of law office policies and procedures and ability to produce accurate legal documents with minimal supervision
Excellent English language and grammar
Ability to transcribe legal documents and correspondence accurately
Ability to organise and prioritise numerous tasks and meet deadlines
Ability to proofread for grammatical, typographical or spelling accuracy
Strong interpersonal skills to communicate effectively with clients, attorneys and staff
Willingness to work additional hours as needed
Ability to work effectively in a team environment
Maintains positive contact with clients, attorneys and staff and observes confidentiality of client information
