Role purposeWe are currently looking for a Fleet and Facilities Manager to join our team based in
Slough .
In this role you will work with members of the fleet technical team, to ensure our fleet is compliant and kept in exemplary condition. You will play a key role in developing our new fleet as we embrace the energy transition. You will be responsible for all areas of fleet and facilities. As part of this role, you will have the opportunity to contribute to company strategy and direction.
Key Responsibilities
Fleet: Take overall responsibility for condition and compliance of our fleet (Vehicles, Trailers and Generators).
Alongside our fleet technical specialists ensure all inspection, testing, maintenance, service and repair requirements are met.
Ensure the thorough but speedy repair of any vehicles that have damage or faults, understanding that safe, reliable and compliant fleet is essential for the success of the business and that demand on the fleet remains high throughout the year.
With the technical specialists, keep an overview of the parts being ordered with a focus on cost, availability and suitability.
Plan and project manage all repairs and refurb work with coachbuilders, bodyworks and electrical contractors.
Manage service and breakdown contracts
Manage vehicle fleet leases and replacement, in conjunction with Head of Operations and the vehicle technical specialist.
Plan and manage all new built fleet projects
Manage the Hytek FMO fuel system at all bases and create monthly reports as necessary
Organise all compliance servicing and repairs of all base tanks and metering/pumping equipment
Arrange all depot fuel and DEF drops, and with the General Manager, arrange fixed fee fuel contracts where commercially advantageous.
Manage Shell, Certas and DKV fuel cards
Manage all tool and equipment inspections and calibration, (e.g. Caltec, LOLER, etc.)
Liaise with DGSA, DG Solutions re ADR compliance for dangerous goods
Manage fleet Insurance (inc claims), Tax, DVS compliance
Manage all aspects of Restricted Operators Licence with DVSA
Provide expert advice and ensure we are complying with all necessary regulations in relation to drivers’ hours, tachograph use, CPC, etc.
Manage FTVS vehicle registration inventory
Manage Vehicle Tracking and DVS accounts
Organise permits for International Travel – Insurance Green Card, Permits, German toll exemptions etc
Manage all M and E maintenance, upgrades, servicing and repairs.
Ensure all compliance testing and inspection is undertaken and logged.
Manage all service contracts, fire alarm, extinguishers, security alarm, CCTV, Paxton door entry, barriers, automated gates, roller shutters, Heating and A/C, etc.
Manage waste procedures and contracts. (Including Scrap, Oil, filters, Aerosols)
Ensure all First Aid, Eye Wash and AED''s are replenished / serviced as necessary.
Liaise with the landlord regarding building maintenance, compliance and permissions.
Manage the cleaning contractor to ensure the facilities are cleaned to the appropriate level.
Co-ordinate with Segro Business Watch with Fire and Security alarm events
Carry out day to day checks re fire alarm, door guards and emergency lighting
Carry out fire alarm tests and drills
Plan and manage all projects and upgrades to the building
HandS: Manage the contract with our independent safety advisors.
Take an active role in implementing new HandS practices and procedures, with the Head of Operations.
Manage Fire risk assessment for all premises
Manage day to day depot health and safety
Complete and manage CHAS assessment works to gain SSIP contractor status annually
General: Own and manage the fleet maintenance budget
Own and manage the facilities maintenance budget
Ensure PO''s are raised on the finance system for all fleet and facilities work
Create monthly Fleet and Facilities reports for presentation and discussion at the management meetings

Required Skills and Experience
Have awareness or previous experience within the broadcast or events industry or have relevant transferrable experience from another sector.
Have a proven track record of fleet and facilities management.
Have significant knowledge of relevant legislation, standards and compliance procedures.
Good level of IT skills, to include MS Office suite.
Have excellent communication skills.
Desirable Skills and Qualifications
Hold a Category C Driving License
Have undertaken Health and Safety at Work training
Have undertaken First Aid training
