Service Administrator
Service Administrator | Keighley, West Yorkshire | Full Time | £26,000 - £28,000 per annum
Are you a highly organised administrator who enjoys keeping things running smoothly in a fast-paced service environment?
Our client is seeking a Service Administrator to support the hire boiler service department by coordinating service activities, supporting engineers and providing excellent customer service.
They are the UK’s leading hirer of industrial steam and hot water boilers. They hire boilers to many market sectors, including food and drinks manufacturers, hospitals, pharma and petrochem companies.
The Role
The role involves managing incoming calls, organising engineer visits, preparing service documentation and ensuring accurate records are maintained across internal systems.
Key Responsibilities
- Answering incoming telephone calls
- Coordinating engineer visits, service jobs and customer callouts
- Liaising with customers to confirm appointments, access details and job requirements
- Preparing and issuing job sheets, service paperwork and supporting documents
- Booking accommodation, transport or site access arrangements for engineers
- Communicating job updates between customers, engineers, drivers and internal teams
- Updating boiler and ancillary certification databases
- Helping ensure compliance documents, certificates and log sheets are completed and returned
- Handling general email inboxes and responding to customer queries professionally
- Escalating urgent service issues or customer concerns to the appropriate manager
- Processing weekly timesheets
- Maintaining accurate records in Outlook, Excel, SharePoint or internal systems
- Assisting with general administration duties
What We’re Looking For
- Confident telephone manner and clear written communication
- Ability to prioritise multiple jobs and changing requirements
- Comfortable working in a busy service, hire, engineering or logistics environment
- Excellent IT skills, especially Outlook, Excel, Teams and SharePoint
- Able to keep calm under pressure and support engineers and customers effectively
- Reliable, proactive and willing to learn about technical equipment and processes
