Job Title: Senior Administrator (Maternity Cover - Fixed Term for 12 months)
Reports to: Director
Location: Cannon Street (hybrid 2-3 days wfh a week)
Days/Hours: Monday to Friday, 09:00 - 17:00
Job Purpose
The Senior Administrator will provide support and assistance to the Director, Senior Management Team, and Senior Officers of the Institute. They will organise and manage Institute meetings and events, ensuring they run successfully and that all post-meeting work is completed. The role also includes overseeing the smooth running of the office, assisting with HR and Health & Safety matters, and supporting the education and membership teams.
Key Responsibilities
- Assist the Director, Senior Management Team, and Senior Officers with appointments and meetings on a daily, weekly, monthly, and annual basis.
- Organise and manage events throughout the year. This includes email correspondence, venue booking, accommodation, staff travel arrangements, itinerary planning, guest list management, and liaising with suppliers.
- Assist the Director with correspondence and office matters.
- Provide diary management support when required.
- Ensure the smooth running of the office, including organisation of storage units, stationery and kitchen stock, and filing.
- Act as the first point of contact for visitors.
- Arrange and manage staff and senior officers'' travel and accommodation, with detailed itineraries.
- Organise all meetings, ensuring they are set up and pre-meeting papers are distributed on time. Take and write minutes promptly.
- Update and track meeting action points before subsequent meetings.
- Liaise with the Chairman and President when required, including arranging meetings and travel.
- Support HR processes including filing, staff welfare, and updating the staff handbook in conjunction with the external HR advisor.
- Liaise with suppliers for quotes, contracts, and renewals.
- Assist the Head of Education & Training with implementing and developing the Learning Management System (Moodle).
- Set up live online sessions for courses, ensuring recordings and materials are uploaded.
- Provide support to Education and Membership departments with queries, correspondence, exam processes, and filing.
- Contribute flexibly to the wider team as needed, supporting across all areas.
Key Skills and Competencies
- Experience managing Council and Committee governance and meetings (preferred).
- Excellent English (written and spoken).
- Strong relationship-building and interpersonal skills.
- Excellent time management and ability to meet deadlines.
- Highly organised with strong attention to detail.
- Ability to produce clear, accurate, and professional meeting minutes.
- Excellent IT and computer skills.
- Resourceful and proactive problem-solver.
- Enjoys working collaboratively as part of a small team.
