As a PMO Manager, you will play a critical role in supporting various projects, with the majority relating to delivering change within the Facilities Management Sector, specifically the transition of services between service providers. You will run an efficient PMO, delivering robust project management processes to ensure successful execution of projects, and drive overall service excellence for our customer and end client. This is a dynamic and collaborative role requiring strong analytical, communication, stakeholder management and problem-solving skills.Responsibilities
Responsible for the overall delivery of the project, ensuring correct project management documentation is completed including project initiation and kick off, project progress and assurance reviews (e.g., Steering Committees), stakeholder management, operational readiness and handover/closure documentation. Finalising with a lessons learned review to ensure iterative learning of the mobilisation process for continuous improvement.Develop and Establish a Transition PlanEstablish, evaluate, enhance, and uphold standards for program and project management.Provide documentation and guidance to ensure adoption of top-tier program and project management strategies from initial business case development to design, implementation, and completion.Formulate and bolster strategies and procedures for efficient planning, tracking, and delivery of programs and projects, including creating and managing a plan, RAID log, status reports, and project updates to monitor progress.Update progress against plan and deliver regular portfolio updates highlighting critical risk areas.Implement Robust GovernanceDevelop cadence for sufficient review and oversight without overburdening Workstream Leads.Schedule and manage governance meetings, documenting progress through minutes, capturing actions and ensuring completion to maintain pace and outcomes.Ensure trackers are in place for items outside the overall plan at a workstream level (e.g., TUPE, Recruitment, supplier onboarding, site visit schedules) and ensure data is kept appropriately (in line with GDPR/data security).Produce client/end client facing presentation decks for reviews and SteerCos using internal reviews for feedback and progress against plan.Managing RAIDImplement RAID tracking for Risks, Issues, Assumptions and Dependencies.Assist Workstream Leads in overseeing workstream delivery including activities, budgets, risks, issues, dependencies, and benefits.Be able to pull data into a summary report and provide adequate analysis and overview.Stakeholder ManagementIdentify and map all stakeholders across the project internally and externally.Complete due diligence across stakeholder groups to understand communication methods for each group.Coordinate with Communications and Training Lead to align on approach and outputs.Develop distribution lists for communications and meetings and prepare weekly project bulletins summarising weekly activities and progress (if not assigned to Communications and Training Lead).Operational Readiness and CutoverDevelop business readiness criteria including essential go-live requirements agreed with all stakeholders.Schedule deep-dive reviews ahead of go-live to identify any issues or gaps needing additional support.Develop a cutover plan detailing transition and handover of services, people, tools, equipment and systems between providers.Manage increased support and governance around the cutover period (hypercare: two weeks pre and post go-live).Manage specific cutover risks and issues with heightened reporting.Transition and Handover to BAUEnsure all transition activities are completed, closed out and agreed with the client and end client as concluded.Archive project documentation and hand over to the BAU Team contact.Deliver service excellence and conduct a lessons learned review to identify areas for improvement in the customer journey and end-user experience.Liaise with Empro Finance and Commercial Manager to ensure billing is completed and costs are invoiced/recovered.Requirements
5+ years of experience in the Facilities Management industry.5+ years of PMO or project-related experience.Effective communicator with a solution-oriented approach.Ability to develop excellent internal, external and third-party relationships.Strong analytical and organisational skills.Excellent technical skills (MS Office, Project, Visio, Excel, SharePoint, etc.).Ability to manage and monitor budgets and resources.Pro-active and flexible approach within a changing environment.APM, P3O or PRINCE2 Accreditations.Benefits
