Orthopaedic Data Administrator

OverviewWe are seeking a detail-oriented and organised Orthopaedic Data Administrator to join our team on a 12-month fixed-term contract. Working 15 hours per week, you will play a key role in supporting the accuracy and quality of patient data within our orthopaedic and plastics registries.
Responsibilities
Use hospital systems (EPIC) and Microsoft Office to gather, document, and input patient information.
Carry out regular accuracy checks and collaborate effectively with data and clinical teams to ensure records are correct and up to date.
Manage data for the National Hip Fracture Database, including timely follow-up with patients 120 days post-procedure.
Contact patients to verify and update personal and contact details when required.
Support data entry and management across orthopaedic and plastics registries, ensuring data is accurate and up to date to support internal and national reporting.
Monitor data quality, escalate inaccuracies to the Clinical Data Manager, and ensure all areas of registry data are completed and validated.
Compile and return data summaries for internal and external audits.
Regularly review processes with the manager and team, suggesting improvements for efficiency.
Establish core processes for data review, validation, and presentation in collaboration with the Data Manager and other staff.
Liaise with staff to ensure all eligible patient information is entered into the appropriate database and confirm patient consent where required.
Manage phone calls professionally to collect NHFD 120-day post-operation information and to update contact details for other registries; document outcomes and escalate issues as needed.
Obtain demographic and daytime contact numbers from patients and update the system in line with Information Quality Assurance.
Maintain strict confidentiality of patient records in line with Trust policies.
Support NHS targets by ensuring timely and accurate data collection, entry, and logging.
Maintain office equipment, handle post and emails daily, attend team meetings, and cover colleagues'' workloads during holidays and absences.
Be flexible and multi-skilled to support additional administrative duties as required to facilitate the smooth running of the directorate.
Support modernisation projects and team initiatives, contributing to cross-departmental collaboration as needed.
Participate in staff training, maintain a personal training file, and pursue annual appraisal.
Build good working relationships with key personnel within the directorate (e.g., ED, Theatres, Quality and Audit, Informatics, Coding) and other specialties as required.
Coordinate with Clinical Governance staff and provide information as required; ensure data protection and Caldicott principles are followed.
Maintain information in files and databases in line with Data Protection regulations.
Gather data and contribute to statistics analysis for audits.
Familiarise yourself with directorate and organisational procedures and support the implementation of new IT and patient administration systems.
Adhere to all Trust and local policies and procedures; uphold Equal Opportunities and no-smoking policies; observe Health and Safety requirements.
Qualifications and experience
Essential
NVQ level 3 or equivalent in business administration/IT.
Minimum of 5 GCSEs Grade C or above or an equivalent.
Experience
Experience of working with computers.
Microsoft - Word / Excel experience.
