We are seeking an Office Manager and People Administrator to join our friendly People team based in Glasgow. This role is fully office based and is responsible for organising, coordinating, and undertaking all day-to-day operations of the Glasgow office to ensure everything runs smoothly. You would also support the People team with a range of administrative duties.
The Role
Manage the day-to-day operations of the Glasgow office
Handle incoming calls to the Glasgow office
Coordinate facilities and liaise with suppliers
Plan and schedule meetings and appointments, including room bookings
Prepare correspondence, reports, financial data and presentations
Arrange travel, accommodation and guest visits, and organise the annual Christmas party
Coordinate office activities and ensure compliance with company policies and health and safety regulations
Manage internal systems and processes
Oversee company credit card transactions, perform reconciliations and secure approvals
Process financial transactions such as employee expenses and supplier invoices
Liaise with stakeholders to arrange onboarding and induction plans for new joiners
Manage background screening and compliance for all new employees
Prepare and issue routine and ad hoc letters, offers and contracts to employees
Provide ad hoc support to the People Director and People Advisor
What we are looking for
Previous experience in a similar office-based role
Proficiency in Microsoft Office applications, including Outlook, Excel, Word and PowerPoint
Exceptional organisational skills with a keen eye for detail
Excellent time-management abilities and consistent punctuality
Strong interpersonal skills and the ability to engage effectively with stakeholders at all levels
Flexible, adaptable approach to shifting business needs and priorities
Excellent written and verbal communication skills
Discretion and the ability to handle sensitive information confidentially
