Office Manager/PA
We are looking for an experienced and organised Office Manager/PA to take responsibility for the smooth running of a busy office and provide essential business support across operations, projects, service, finance and senior management.
This is a varied position for someone who enjoys taking ownership, improving processes and ensuring everything behind the scenes runs efficiently and professionally.
Key Responsibilities
- Manage the day-to-day running of the office, facilities and general administration.
- Oversee office processes and provide guidance and support to administrative staff.
- Maintain company policies, procedures, records and document-control systems.
- Coordinate recruitment, onboarding and new starter administration.
- Maintain accurate employee, training, qualification and competency records.
- Manage company compliance accreditations and renewal requirements.
- Maintain ISO, Safecontractor and customer prequalification requirements.
- Coordinate information and documentation for customer portals and tenders.
- Prepare for external audits and ensure corrective actions are followed through.
- Maintain appropriate health & safety records and documentation.
- Support environmental, quality and F-Gas compliance requirements.
- Assist with invoicing and general finance administration.
- Support purchasing, supplier administration and credit-control processes.
- Prepare management reports and provide accurate KPI information.
- Provide administrative support to the Managing Director and senior management team.
- Assist with business planning, projects and ongoing improvement initiatives.
- Identify opportunities to improve internal systems, processes and efficiencies.
- Help enhance the overall customer journey and level of service provided.
- Deal professionally with customers, suppliers and external contacts.
- Coordinate meetings, training, audits and other business-support activities.
- Ensure office documentation is accurate, organised and kept up to date.
- Assist with facilities management and ensure the office environment operates effectively.
- Monitor key deadlines, renewals and compliance requirements.
- Maintain a high level of confidentiality when dealing with sensitive business and employee information.
- Provide general business and administrative support across the wider organisation.
The right candidate would ideally have:
- Previous experience in an Office Manager, Business Support or similar position is preferred.
- Strong organisational skills with excellent attention to detail are essential.
- Experience within a facilities, construction, engineering or similar environment would be advantageous.
- A proactive, professional approach with the ability to work independently and manage competing priorities.
