About the RoleAs Office Manager, you’ll be responsible for the effective and efficient running of our office, facilities, practices, procedures, accounts, and performance monitoring systems. You’ll work closely with the Directors and wider team to ensure the business operates smoothly and continues to improve.
This is a primarily office-based role, as you’ll be at the heart of our team and operations.
Key ResponsibilitiesFinancial Administration
Maintain accurate bookkeeping using accounts software (currently Sage, with a likely move to Xero or Quickbooks)
Produce reliable monthly management accounts and cashflow analysis for Directors
Raise and monitor client invoices, track payments, and manage overdue accounts
Reconcile bank accounts and petty cash monthly
Assist with year-end accounts and VAT returns
Manage payroll changes and pension administration (NEST)
Prepare and track staff expenses and P11D forms
Office and Facilities Management
Oversee all office facilities, maintenance, cleaning, and supplies
Ensure compliance with Health and Safety and insurance requirements
Liaise with IT support and manage IT issues, asset database, and business continuity processes
Manage utilities and supplier contracts, ensuring best value for the business
Oversee recycling, post, and stationery purchasing
Human Resources and Team Support
Maintain staff contracts, HR records, and the Staff Handbook
Support recruitment, onboarding, and induction processes
Organise and schedule staff appraisals, training, and development
Monitor staff rotas, holidays, and absence records
Attend disciplinary hearings and ensure legal compliance in HR matters
Performance and Diary Management
Produce monthly reports on staff and business performance
Maintain and process timesheets and performance tracking systems
Manage Directors’ diaries, meeting room bookings, and internal meetings
Support the organisation of staff events, team-building activities, and industry award submissions
Reception and Office Culture
Welcome visitors and callers, providing refreshments as needed
Help foster a positive, tidy, and welcoming office environment
About you
We’re looking for someone who is:
Highly organised, detail-oriented, and proactive
Experienced in office management, administration, or a similar role
Confident with financial processes and accounts software (Sage, Xero, or Quickbooks)
Comfortable with HR administration and supporting a team
A strong communicator, able to build positive relationships at all levels
Adaptable, positive, and keen to contribute to a growing agency
