HR Manager
Main purpose of the job
To provide comprehensive and effective support with HR and staffing matters across the Institute, ensuring compliance and adherence with policy. Line managing an HR Administrator and building effective and positive working relationships across the department spotting and flagging any potential people issues.
Duties and responsibilities
HR Advice and Guidance:
Providing advice and guidance on HR matters or policy and signposting queries to appropriate areas for further information or escalation where necessary.
Using initiative and judgement to identify potential complex problems or issues and escalate these where necessary.
Supporting line managers to carry out absence, attendance and probation processes appropriately, applying policy.
Communicating, explaining and advising on new policy initiatives and their benefits.
Cascading HR best practice and changes that will impact the faculty or its departments/divisions through workshops and engagement activities. Eg recruitment, sickness, appraisals.
Recruitment and Resourcing:
Reviewing job descriptions and ensuring standardisation across JDs
Liaising with Finance and Research teams regarding funding agreements for research funded posts to ensure they are in place prior to recruitment formalities commencing.
Ensuring recruitment exercises are carried out in line with compliance requirements (e.g. Right to work checks, certificates of sponsorship and visas) and enable a positive candidate experience.
Supporting the Institute management teams resourcing or staffing plans (identifying where future staff are needed, in what roles and grades).
Managing escalated or complex contractual changes and with end of contract arrangements.
HR Lifecyle Administration:
Responsible for ensuring all HR activity is conducted in line with policies, processes and statutory regulations, including, but not limited to, right to work and immigration compliance.
Working with Institute management team(s) to develop a deep understanding of local needs and people issues
Co-ordinating the bi-annual accelerated increments and annual junior and senior academic promotions process and committees, including the provision of people data and HR reports for Institute management committees and junior and senior promotions processes.
Providing Institute inputs into Faculty Reward Committee and Junior Promotions Committee
Monitoring routine events on behalf of the Institute, such as induction, end of probation, appraisals and staff engagement activities, adhering to relevant policies and ensuring records are updated
Supporting Institute management teams to develop departmental and individual training and development needs
Providing advice to line managers on issues including probation, capability, sickness absence, disciplinary and grievance. Supporting occupational health or wellbeing matters, including occupational health referrals.
Guiding managers and staff on requests for all aspects of flexible working to ensure adherence to policy, and changes processed in a timely way.
Providing guidance and advice to line managers and staff on parental leave, monitoring application forms.
Overseeing new and extended honorary contracts process, ensuring right to work checks are completed, accurate records are maintained, and submission to periodic Honorary Senior Appointments Committee, where appropriate.
Managing the End of Contract process across the Institute, ensuring that line managers adhere to the EoC process in accordance with termination procedures.
Qualifications, experience and knowledge:
Have, or be working towards a professional HR qualification (for example a Certificate in Personnel Practice (CPP)
Experience working in an HR generalist role
Working knowledge of UK employment law and HR practices
Demonstrable record of effectively managing people
Skills and abilities:
Articulate and able to flex your communication style appropriately for different audiences
Organised and able to work with a degree of autonomy
Ability to use a variety of digital tools effectively
Able to recognise and solve problems or areas of ineffective working using own initiative and in consultation with others.
Desirable Criteria:
Experience of working in a HEI, or similarly complex organisation.
Experience of working with clinical academics (relevant for areas that employ clinical academics only)
Commitment to and knowledge of advancing equality, diversity and inclusion.
