Get AI-powered advice on this job and more exclusive features.Direct message the job poster from West Midlands Pension FundThe West Midlands Pension Fund is looking for a highly organised and professional Executive Support Assistant to join our People Services team.In this role, you will provide efficient, accurate, and confidential administrative support to the Senior Leadership Team (SLT). You’ll play a key part in coordinating and administering subcommittee and leadership meetings – from preparing agendas and papers to taking accurate minutes and ensuring actions are followed up.You will also support with diary management, document preparation, and general executive duties, helping to ensure the smooth running of meetings and daily activities. As part of a small, collaborative team, you will work flexibly to provide high-quality executive support, covering colleagues during absence and contributing to the effective running of the service.What you’ll be doing:Coordinating meetings, preparing agendas and papers, and recording minutes and actions.Providing executive support such as diary management, correspondence, and document preparation.Acting as a point of contact for queries, ensuring professional and confidential handling of information.Supporting the PA’s to deliver excellent administrative support across the SLT.Ensuring SLT members are fully briefed and prepared for meetings and events.Contributing ideas and working collaboratively with colleagues to continually improve service delivery.What we’re looking for:Previous experience providing administrative or executive support at a senior level.Strong organisational skills with the ability to prioritise workloads and meet deadlines.Experience of minute taking and coordinating meetings.Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, OneNote, Teams and Outlook.Excellent written and verbal communication skills.Ability to handle sensitive information with discretion and professionalism.A proactive, flexible approach with the ability to work both independently and as part of a team.Local Government experience.Level 3 Business Administration or equivalent.Knowledge of project or performance management.This is an excellent opportunity for someone who is highly motivated, adaptable, and committed to providing outstanding support in a dynamic and professional environment.Seniority level
