Doctoral Training Programme (DTP) Co-ordinator – College of Medicine and Health. Location: University of Birmingham, Edgbaston, Birmingham UK. Full-time, fixed-term contract up to September 2026. Grade 6. Full-time starting salary normally in the range £32,546 to £35,116 with potential progression to £39,355. Closing date: 11 September 2025. The post holder is responsible for overseeing the coordination and administrative management of postgraduate research (PGR) studentship programmes, coordinating research studentship activity across the College, and maintaining records for UKRI-funded postgraduate researchers. The role supports international PGR community-building and involves liaison with external funding bodies (primarily UKRI and major charities), the College’s academic community, and other Professional Service teams to ensure a high-quality, efficient service and the best possible student experience.Main Duties

Operational and strategic responsibilities for Doctoral Training ProgrammesOversee coordination and administration, including budget management, of core and externally-funded College studentship programmes (including UKRI and International Training Programmes)Coordinate pre-award and post-award requirements of externally-funded College studentship programmes (award setup, recruitment and marketing, support for DTP Directors, liaison with funders, annual reporting, and entry of scholarship payments into the University Funding Administration System)Recruitment and marketing of studentships, including oversight of the recruitment process for MRC DTP; promote DTPs/iDTP via social media and share student success storiesProgramme management of MRes courses associated with the College’s strategic DTPs (timetabling, induction events, interviews, marks entry, Exam Board, Canvas and handbooks)Collation and management of student information for Doctoral Training ProgrammesEnsure Je-S Student records for UKRI Studentships are created and maintained annuallyProvide dedicated support to DTPs and student cohorts, including communications and organisation of cohort-specific eventsAdvise and guide supervisors and students on funder terms and conditionsOversee distribution of College’s allocated MRC Supplementary fundsCoordinate with the University Research Finance Office to prepare financial reports and progress reports for internal management and external funders; ensure timely submission and contract complianceProvide secretarial support for Working Groups and Management Boards; coordinate agendas, brief stakeholders, and format/minutes and reportsDevelop and implement communications strategies for externally-funded PhD programmes, manage websites, and drive content deliveryCoordinate conferences, meetings, workshops, and training programmes related to externally funded PhD programmesOversee the workload of the administrator for DTP activitiesFacilitate organizational knowledge sharing regarding DTPs and feed back queries from College/partner Institutes to fundersProduce metrics and data on DTP/UKRI-funded students for governance and recognition processesEstablish credibility on DTP knowledge and student procedures; advise administrators and academics on sponsorship terms and conditionsAct as first point of contact for prospective and current DTP students; troubleshoot and escalate as needed across Admissions, Registry, and Student ServicesEngage in process improvement and service delivery developmentSupport other College Graduate School activities as requiredPromote equality, diversity, and an inclusive working culture; contribute to sustainability and resource-efficient practicesEssential

A good honours degree or relevant experience to perform the tasks effectivelyExperience in a customer-focused office environmentExcellent analytical and presentational skills with the ability to formulate clear proposals based on sound analysisAbility to develop and maintain systematic, timely proceduresExcellent IT skills, particularly with spreadsheets and databases, and ability to develop monitoring and reporting systemsAttention to detail and a methodical approach; ability to prioritise workloads to meet deadlines and solve problemsExcellent interpersonal, organisational, negotiation, and multi-tasking skills to work with academic and external partnersExcellent writing skills and ability to communicate with people at all levelsAbility to work under pressure and manage conflicting demands while meeting deadlinesDesirable

Relevant higher degree or professional trainingBroad experience in academic administration in higher education, particularly postgraduate policy and studentship mattersDemonstrable project management skillsExperience of web content design and publicationDimensions
