Role SummaryThe post holder is responsible for overseeing the co-ordination and administrative management of studentship programmes, coordinating research studentship activity across the College and maintaining records for UKRI-funded postgraduate researchers. The post also supports international PGR community-building activity. The role involves liaison between external funding organisations (primarily UKRI and major charities), the College’s academic community and other Professional Service teams, to ensure high-quality, efficient service and a positive experience for students.Main Duties

Operational and strategic responsibilities:Doctoral Training ProgrammesOversee the co-ordination and administrative management, including budget management, of relevant core, externally-funded College studentship programmes (including, but not limited to, UKRI and International Training Programmes).Organise all pre-award and post-award requirements of externally-funded College studentship programmes (including award set-up, recruitment and marketing, support for DTP Directors, liaison with funders, annual reporting, entry of scholarship payments into the University Funding Administration System).Recruitment and marketing of studentships including overseeing the recruitment process for MRC DTP, promotion of DTPs/iDTP via social media, sharing student success stories and promoting events.Programme management of MRes courses associated with the College’s strategic DTPs, including timetabling, induction events, organising interviews, marks entry, Exam Board, maintaining Canvas and handbooks.Collation and management of student information relating to Doctoral Training Programmes.Ensuring Je-S Student records for UKRI Studentships are created and maintained annually.Provide dedicated support to the DTPs and student cohorts, including communications and organisation of cohort-specific events.Provide advice and guidance for supervisors and students on funder Terms and Conditions and regulations.Oversee and manage distribution of the College’s allocated MRC Supplementary funds.Coordinate with the University Research Finance Office, the preparation of financial reports and regular progress reports to internal management and external funders; liaise with funders to ensure timely reporting and contract compliance and deliverables.Provide secretarial support for Working Groups and Management Boards; coordinate agendas, brief stakeholders and format/minute distribution of meetings.Develop and implement communications strategies for externally-funded PhD programmes, including website management and coordination of content for internal/external profiles.Coordinate conferences/meetings/workshops and training programmes related to externally funded PhD programmes.Oversee the workload of the administrator in relation to DTP activities.Facilitate organisational knowledge sharing regarding the DTPs and feedback queries to funders as appropriate.Produce metrics and data on DTP/UKRI-funded students for governance committees.Establish credibility with College colleagues regarding DTP knowledge and studentship procedures; provide guidance to administrators and academics on funders’ terms and conditions.Act as the first point of contact for prospective and current DTP students; troubleshoot issues and escalate as needed to relevant colleagues (Admissions, Registry, Student Services).Engage in process improvement and development of service delivery capability.Support other College Graduate School activities as required.Note: duties may evolve; changes will be discussed through annual review.Promote equality and diversity, acting as a role model and fostering an inclusive working culture.Support the University sustainability agenda through resource-efficient working.Required Knowledge, Skills, Qualifications, ExperienceEssentialA good honours degree or relevant experience enabling the described tasks.Experience in a customer-focused office environment.Excellent analytical and presentational skills, with ability to formulate clear proposals/outcomes from sound analysis.Ability to develop and maintain systematic and timely procedures.Excellent IT skills, particularly in spreadsheets and database management, with ability to develop output and reporting systems.Attention to detail, methodical approach, ability to prioritise workloads and meet deadlines; strong problem-solving skills.Excellent interpersonal, organisational, negotiation and multi-tasking skills for dealing with academic and external partners.Excellent writing skills and ability to communicate with people at all levels.Ability to work under pressure and manage conflicting demands.DesirableRelevant higher degree or professional training.Experience of academic administration in higher education with understanding of postgraduate research policy and studentship matters.Demonstrable project management skills.Experience of web content design and publication.DimensionsFinancial:
