About the Role
We are looking for an organised and proactive Contract Administrator to join our busy Commercial team. This is an excellent opportunity for someone with strong administrative skills who enjoys working in a fast-paced environment and thrives on delivering excellent customer service.
In this role, you will work closely with operational teams, engineers, suppliers, contractors and customers to ensure jobs are planned, completed and invoiced efficiently. You''ll play a key role in maintaining accurate records, coordinating schedules, processing invoices and supporting the smooth day-to-day running of contract operations.
Key Responsibilities
- Liaise with suppliers to chase outstanding parts and provide updates to planners.
- Schedule field engineers for priority and contractual work.
- Submit completed work orders for payment, ensuring all documentation is accurate and complete.
- Investigate and resolve payment rejections.
- Produce weekly and monthly reports covering payment rejections, outstanding work orders and parts.
- Monitor engineer and contractor response times to ensure service level agreements are met.
- Manage timesheets accurately and efficiently.
- Process invoices and purchase orders.
- Schedule daily appointments for field engineers.
- Maintain accurate records on the company''s CAFM system.
- Prioritise workload to meet deadlines and maximise efficiency.
- Build and maintain positive working relationships with colleagues, customers and suppliers.
- Communicate clearly and professionally, both verbally and in writing.
- Support the wider team in delivering an excellent customer experience.
- Carry out any other reasonable administrative duties as required.
About You
The ideal candidate will have:
- Previous experience in an administrative or contract support role.
- Excellent organisational and time management skills.
- Strong attention to detail and a high level of accuracy.
- Experience processing invoices, purchase orders or work orders (desirable).
- Good IT skills, including experience using Microsoft Office. Experience with CAFM systems would be an advantage but is not essential.
- Strong communication and customer service skills.
- The ability to work effectively under pressure and manage multiple priorities.
- A proactive, positive attitude with the ability to work independently and as part of a team.
