CAMHS Patient Services Coordinator / AdministratorAn exciting opportunity within the National and Specialist CAMHS Outpatient Service. We are recruiting 1 full-time (37.5 hours) Patient Services Coordinator (PSC) / Administrator. We are seeking a well-organised, motivated and committed PSC with excellent customer service skills to join our fast-paced team. The team is based at the Michael Rutter Centre and are often the first point of contact for our young patients and families, supporting the National and Specialist CAMHS Outpatient clinical teams and senior administrators.
Main duties of the jobAs a Patient Services Coordinator / Administrator, you will be a core member of the Michael Rutter Centre Team. With the support and supervision of the Michael Rutter Centre Manager, the team supports essential day-to-day functions within the clinical area and the building. This is a patient-facing role requiring a professional but personable manner when interacting with patients, families, staff and visitors. You will: greet and register patients and accompanying guests, direct them to waiting areas, and inform the attending clinician that they have arrived. The role is highly interactive and requires enthusiasm, good people skills and initiative. The team manages the clinic space and meeting rooms, allocating them to clinicians/teams for face-to-face appointments, virtual appointments, supervision sessions and team meetings. The Michael Rutter Centre operates from 8:30am–6:00pm. The successful candidate should be flexible to cover Saturday Clinics when required. Full-time (37.5 hours) on-site with a reception rota to cover: 8:30am–4:30pm; 9:00am–5:00pm; 10:00am–6:00pm; and/or some Saturdays as part of core hours/working pattern.

Our Trust headquarters is at Denmark Hill, within walking distance from Ruskin Park and local amenities. The Michael Rutter Centre is located on the Maudsley Hospital site, off Denmark Hill, London, SE5 8AZ (to move to Pears Maudsley Children and Young People in late 2025/early 2026).
Job responsibilitiesPatient Services Coordination / AdministrationProvide reception duties with a helpful, diplomatic approach; screen and re-route calls; take clear messages; manage general enquiries. Maintain reception area (leaflets, waiting area information). Oversee signing-in procedures, issue visitor cards, and allocate rooms for outpatient appointments and seminar room bookings. Run weekly room booking reports for Advance Room booking, Group Bookings, and Recurrent bookings. Update the Trust patient database with appointment outcomes and contact details. Prioritise daily tasks and manage multiple workloads to agreed timescales. Complete patient travel forms and process reimbursements when required. Log work requests on the Estates and Facilities Planet FM system. Order stationery and manage stock; compile weekly catering requests; collect and distribute post daily.
Administrative support to NandS Outpatient TeamsFormat letters and reports; send correspondence; photocopy letters and documents; scan and upload to the patient database; assist with retrieval of documents for solicitors (e.g., Subject Access Requests). Contact families regarding appointment reminders; update patient registration and consent forms; assist with parent group resources; manage team mobile and messages as required.
Service requirementsProvide cover for colleagues within CAMHS sites; reception cover for early, late or weekend clinics as required. Attend administration team meetings and contribute to ongoing system improvements. Trained as nominated Fire Warden, First Aider and/or Health and Safety Champion. Support service user feedback and PPI. Conduct regular audit checks. May be required to work outside core hours.
Personal developmentEngage in development and mandatory training identified through appraisal and supervision; assist with induction of new staff.
OtherEnsure duties align with Trust policy and perform other duties appropriate to the grade (e.g., petty cash).
Person SpecificationQualifications
NVQ 3 in customer care or admin (A)
GCSE or equivalent in English Language (A–C; 9–7 grade) (A)
GCSE or equivalent in Mathematics (A–C; 9–7 grade) (A)
ECDL (A)
Experience
Experience dealing with the public face-to-face and via telephone (A and I)
Experience of administrative / secretarial procedures (A and I)
Experience of working in the NHS, ideally within a child-friendly mental health environment
Experience of appointment booking systems (A)
Knowledge/Skills
Working knowledge of Microsoft Outlook and Word (A and T)
Awareness of Data Protection and Confidentiality (A and I)
Understanding of Racial Awareness and Diversity (A and I)
Microsoft Excel (A)
