Booking Coordinator

An established UK organisation is looking for an organised and personable Booking Coordinator to join their team. This is a varied administrative role involving stakeholder communication, data management and customer service.

The successful candidate will be responsible for coordinating a number of allocated screening, acting as the key point of contact for external stakeholders and ensuring everything is organised and delivered smoothly.


Key Responsibilities

  • Coordinate allocated screening from initial booking through to completion.
  • Act as the main point of contact for families, schools, clients and other external stakeholders.
  • Liaise with internal teams and staff to ensure all arrangements are confirmed and communicated clearly.
  • Manage online booking systems and maintain accurate records.
  • Maintain and update spreadsheets, calendars and databases with all booking and participant information.

Create promotional materials using Canva.

  • Prepare and distribute letters and other documentation, including mail merges.
  • Manage waiting lists and email distribution lists, keeping records accurate and up to date.
  • Coordinate the preparation of equipment and supplies required for each booking.
  • Produce accurate information and data sheets for use by the team.
  • Respond to telephone and email enquiries in a professional and timely manner.
  • Provide administrative support to other members of the team when required.
  • Maintain accurate physical and digital records in line with data protection and information security requirements.
  • Provide general administrative support across the wider team as required.

About You

  • We are looking for someone who is highly organised, reliable and confident dealing with people at all levels. You will need to be comfortable managing multiple priorities while maintaining a high level of accuracy and attention to detail.

  • A confident and professional telephone manner.
  • Strong administration and organisational skills.
  • Excellent attention to detail.
  • The ability to manage multiple tasks and changing priorities.
  • Strong interpersonal and stakeholder management skills.A calm, patient and empathetic approach when dealing with sensitive or difficult enquiries.
  • Confidence using Microsoft Office, particularly Outlook, Word and Excel.
  • The ability to work independently while also being a supportive team member.
  • A strong understanding of confidentiality and the importance of handling personal information appropriately.
  • A flexible and helpful approach to supporting the wider team.
