They are now looking for a Bid Coordinator to join their established frameworks and work-winning team, based from Plymouth, Exeter or Bristol on a hybrid basis.
Sitting at the centre of the bidding process, you’ll coordinate the production and delivery of high-quality submissions, bringing structure to information from multiple stakeholders and ensuring every bid is compelling, compliant and delivered on time.
The role
As Bid Coordinator, you’ll take ownership of the coordination process across a variety of bids and framework opportunities. Your responsibilities will include:
- Supporting written submissions and associated marketing materials, including expressions of interest, PQQs, tenders, case studies and presentations.
- Working closely with the wider proposals team and internal stakeholders to gather, coordinate and develop bid responses.
- Formatting submissions to create clear, professional and consistent documents while maintaining required brand standards.
- Producing simple, effective graphics to strengthen proposals and communicate key information.
- Ensuring individual client requirements are fully addressed throughout each submission.
- Developing presentation decks and supporting materials.
- Planning and managing workloads around multiple submission deadlines.
- Attending bid kick-off meetings, progress reviews and other relevant meetings.
- Reviewing your own work and peer-reviewing submissions produced by colleagues, providing constructive feedback to improve quality.
- Proofreading content for clarity, readability, grammar, spelling, punctuation, structure and presentation.
- Coordinating the production of hard-copy submissions where required.
- Maintaining and developing the knowledge management system, capturing reusable bid content, evidence and supporting information.
- Reviewing feedback and lessons learned from successful and unsuccessful submissions to continually improve future bids.
- Participating in internal post-submission reviews.
- Using Dynamics 365 to maintain project and framework opportunity information in support of business development and governance.
- Maintaining client portal information and controlling access details.
- Managing client portals, including downloading tender documentation, uploading submissions and coordinating correspondence within required deadlines.
The successful Bid Coordinator will combine previous construction or infrastructure proposals experience with strong organisation, communication and document-production skills.
Essential:
- Previous proposals or bid experience within construction or infrastructure.
- Educated to at least GCSE standard in English and Maths.
- Strong Microsoft Word, Excel and PowerPoint skills.
- Experience using Adobe and graphical software such as InDesign, Visio and Illustrator.
- Formal proposals training, such as Shipley or Winning Bids Masterclass.
- Strong attention to detail and the ability to coordinate multiple deadlines and contributors.
- Advanced experience with InDesign, Visio and Illustrator.
- Experience working with knowledge management systems.
- Familiarity with CRM platforms such as Dynamics 365 or Salesforce.
The position can be based from Plymouth, Exeter or Bristol, with hybrid working available.
You’ll receive a salary of £45,000 – £55,000, alongside a strong benefits package including:
