Working Hours: Mon – Fri, 09:00 – 17:00, 37 Hours per week

Responsibilities

  • Provide high-quality administration to ensure the effective and smooth running of the Emergency Duty Service.
  • Communicate effectively across six local authorities with excellent organizational skills.
  • Work independently with support from the Business Services Manager and use initiative.
  • Produce management information for the Business Services Manager and assist with general administration tasks.
  • Monitor and maintain the quality and accuracy of data on the Department’s computerised information system.
  • Assist in the coordination and processing of invoices, timesheets, and expenses claims.
  • Record sickness for team members under the direction of the Business Services Manager.
  • Ensure effective use of office space, maintain stationery stocks, and report equipment repairs.
  • Assist in the transfer of social work reports to appropriate day teams.
  • Maintain the Team staff telephone list.
  • Advise the Business Services Manager on issues affecting administrative procedures and participate in their development and improvement.
  • Ensure team members are aware of administrative systems by supplying relevant written information upon induction.
  • Maintain the rota as required by the Business Services Manager ensuring all shifts are covered.
  • Distribute the Approved Mental Health Professional Reports to relevant agencies.
  • Arrange meetings, undertake minute taking, and ensure accurate transcription and distribution of minutes.
  • Maintain an effective filing system for departmental policies, procedures, and all other team data.
  • Organize and prioritize workload under the general direction of the Business Services Manager.
Person Specification
  • 5 GCSEs Grade C or above, including English and Maths.
  • Secretarial and administration qualification(s).
  • Intermediate level of IT skills and experience.
  • Understanding of people as individuals with varying training needs.
  • Commitment to anti-discriminatory practice.
  • Ability to work effectively within a team.
  • Excellent telephone manner and attention to detail.
  • Effective time management and ability to work using own initiative.
  • Understanding of and commitment to safeguarding children, young people, and vulnerable adults.
  • Good working knowledge of Outlook software and Excel.
  • Understanding of data protection and confidentiality of service user and worker information.
  • Motivated with a flexible approach.
  • Able to work within a busy and demanding environment while maintaining a professional attitude.
  • Knowledge of working within a Social Care environment and Health & Safety at Work.
  • A satisfactory enhanced Disclosure and Barring Service check.
  • Prepared to be reasonably flexible in work hours to meet job requirements.
