Warehouse Planner

Role Purpose

The Planner will provide accurate and timely administrative support to the Warehouse team, ensuring smooth operations and effective communication with both colleagues and customers.

Key Responsibilities

  • Process and manage customer orders in the Warehouse Management System (WMS).
  • Dispatch orders and close out job files (including POD and other required documents).
  • Run and produce reports for customers and management.
  • Maintain accurate filing and archiving of paperwork.
  • Update shared files and carry out system checks.
  • Support stocktaking activities when required.
  • Input vehicle arrivals for customers and collate information for charge reports.
  • Update KPIs and other business performance records.
  • Escalate any issues, queries, accidents, or incidents in line with company procedures.
  • Maintain general office housekeeping and assist with ad hoc tasks as instructed.
  • Attend training sessions for new processes and procedures.

  • Accuracy and timeliness of data entered into systems.
  • Jobs closed promptly and correctly.
  • Effective reporting and escalation of issues.
  • Compliance with processes and housekeeping standards.

Working Hours & Environment

  • Monday to Friday, 08:00 – 16:30.
  • Based in a busy office within a large warehouse environment.

  • Follow all company Health & Safety policies.
  • Maintain high standards of personal and workplace safety.
  • Ensure colleagues and contractors also comply with H&S procedures.

Person Specification

Qualifications & Experience

  • Computer literate – confident using MS Office (Outlook, Excel, Word), email, and databases.
  • Good numeracy and literacy skills.
  • Experience working in a fast-paced office environment.
  • Previous experience in a similar administrative or planning role (preferred).

Skills & Competencies

  • Strong attention to detail with a methodical approach.
  • Highly organised, able to manage multiple tasks and deadlines.
  • Ability to work under pressure and prioritise effectively.
  • Self-motivated and reliable with a positive, “can-do” attitude.
  • Flexible and a strong team player.
  • Good communication skills (written and verbal).
  • Professional and appropriate behaviour when dealing with colleagues, customers, and visitors.
