Overview:
We are seeking a highly organised, detail-oriented, and proactive Transport Clerk / Administrator / Coordinator to join our busy multi-contract transport office. This position plays a crucial role in the day-to-day operations of our logistics services, supporting contracts such as NT, Howdens, and Nissan.
The successful candidate will be responsible for managing delivery schedules, coordinating driver debriefs, and ensuring the accurate input and tracking of transport data using a variety of industry-specific systems. You’ll also serve as the first point of contact for drivers, internal teams, and customers, ensuring a smooth flow of communication and excellent service delivery.
Key Responsibilities: Transport Administration & Coordination:
- Support the transport operation for multiple contracts (including NT, Howdens, and Nissan) ensuring all transport-related activities are running efficiently and in compliance with service level agreements.
- Monitor and manage daily deliveries, collections, and driver routes using internal systems including V8/Vision, Microlise, SCW programme, and Docuware.
- Accurately process driver paperwork, manifests, and delivery notes, ensuring all documentation is complete and filed correctly.
- Prepare reports and summaries as required by the Transport Manager or customer service teams.
- Perform daily driver debriefs at the desk upon their return, gathering key information on route performance, delivery issues, and vehicle condition.
- Investigate and record any delivery discrepancies, delays, or failed drops, escalating as necessary to relevant departments.
- Monitor route performance and vehicle tracking in real-time using Microlise and other systems, identifying and resolving anomalies.
- Act as a key point of contact for internal stakeholders and customers, providing timely updates regarding deliveries and transport issues.
- Respond to inbound calls and emails in a professional and courteous manner, resolving queries or passing them to the relevant team member.
- Communicate effectively with drivers, planners, and warehouse staff to ensure smooth and efficient transport operations.
- Ensure that all transport and delivery data is accurately recorded in our internal systems and remains compliant with internal processes and external regulations.
- Support compliance checks relating to driver hours, vehicle logs, and service standards.
- Assist in the continuous improvement of transport processes and provide feedback to support system enhancements
- Previous experience working in a busy transport or logistics office environment.
- Competent with transport and delivery management systems (V8/Vision, Microlise, SCW, Docuware or similar).
- Strong organisational skills and excellent attention to detail.
- Confident communicator with the ability to handle calls, emails, and face-to-face interactions professionally.
- Able to manage and prioritise multiple tasks in a fast-paced environment.
- Proficient in Microsoft Office (especially Excel and Outlook).
- Familiarity with working across multi-contract logistics operations.
- Knowledge of transport regulations and driver compliance requirements.
- Experience with customer service or client-facing roles within logistics.
