Role Overview

We are seeking a highly organised and detail-oriented Transport Administrator (Nights) to join our busy transport team. This role plays a key part in ensuring the smooth day-to-day operation of our transport department, with responsibilities covering communication, compliance monitoring, documentation, reporting, and customer service.

The ideal candidate will have excellent communication skills, a proactive approach to problem-solving, and a strong understanding of transport and compliance processes.

Key ResponsibilitiesCommunication
  • Respond promptly and professionally to incoming calls and emails.

  • Resolve customer and driver queries effectively with clear communication.

  • Maintain accurate records of communications for audit and traceability.

Liaison & Coordination
  • Support the Transport Management Team with daily operations.

  • Relay operational updates to drivers, depot staff, and stakeholders.

  • Coordinate with Warehouse, Planning, and Customer Service to ensure timely deliveries.

Documentation & Record Management
  • Collect and chase delivery notes, PODs, defect reports, and driver hours.

  • Ensure all documentation meets legal retention requirements.

  • Keep transport records updated in line with company and statutory regulations.

Compliance Monitoring
  • Support Operator Licence compliance by monitoring vehicle, driver, and tachograph records.

  • Track driver hours, rest breaks, and WTD compliance.

  • Maintain records of driver licence checks, training, and medicals.

  • Ensure servicing, MOTs, and defect reports are logged and tracked.

  • Prepare documentation for internal and external audits.

Reporting & Data Analysis
  • Produce operational statistics and compliance reports (delivery performance, fuel usage, infringements).

  • Highlight risks, anomalies, or non-compliance to management.

Administrative Support
  • Undertake filing, scanning, and accurate data entry.

  • Process and validate customer orders.

  • Communicate customer instructions clearly to drivers and depot staff.

Issue & Complaint Resolution
  • Manage customer and supplier complaints through to resolution.

  • Escalate repeat issues and suggest preventative actions.

Customer Requirement Management
  • Process customer requests in a timely and controlled manner.

  • Ensure all work is logged for accurate billing and audit purposes.

Process & Audit Readiness
  • Ensure all processes comply with Health & Safety, DVSA, and company policies.

  • Maintain audit readiness with up-to-date documentation and systems.

Key Skills & Attributes
  • Strong organisational and administrative skills.

  • Excellent communication and customer service abilities.

  • Attention to detail and ability to work under pressure.

  • Knowledge of transport compliance and legislation (advantageous).

  • IT literate with experience in MS Office and transport systems.

  • Ability to work independently during night shifts.
