Overview
As the Site Documentation Manager, you will establish and oversee the Documentation Management process within the Project, Program, or Bid organisation. You will serve as the primary point of contact for all documentation-related matters with Customers, Partners, the core team, and all involved functions—ensuring alignment on documentation requirements and contractual deliverables. You will ensure that all project documentation is systematically archived and play a proactive role in fostering a strong documentation culture throughout the Project, Program, or Bid lifecycle.Responsibilities
Be responsible, within the team, for the deployment and execution of the documentation management process.Create and update Documentation Management Plans (DMP) in line with customer contractual requirements and share them with project internal stakeholders.Define and deploy the documentation numbering system and create a single repository for project working documents (e.g., in Teams, SharePoint).Manage the documentation management internal and external requirements.Ensure rules defined in the DMP are understood and applied by every team member.Create formatting of official Alstom templates according to contractual requirements and ensure stakeholders use them.Collect all inputs from the Project and place them in the Project Documentation Master List (DML).Coordinate all DMLs to obtain the complete version of the project (a single final version) if multiple product line DMLs exist.Ensure documentation is properly validated before any submission to Customer.Adapt and implement the documentation structure in accordance with standards.Manage, setup, and deploy EDMS (Electronic Document Management System) with the tools support team; train new users and manage access rights to EDMS.Participate in configuration and change reviews to guarantee integration in all documentation-related activities.Define and analyse documentation reporting and indicators to be provided by the Documentation Controller and report analysis to the department head, PM and Core Team Manager, team members, and Customer (when required).Monitor document milestones associated with payment milestones and alert the Project/Program/Bid Manager in case of risks (delays) and prepare related reporting.Participate in Gate reviews, internal and external quality inspections.Suggest improvements of the activity.Qualifications and Skills
Good knowledge in MS Office and analytical tools.Good knowledge in preparing dashboards and KPIs.Good knowledge of project documentation standards and some project management experience.Ability to understand engineering and industrial processes.Ability to contribute to or drive construction, implementation, and running of EDMS on a project.Structured way of working (process-oriented, with a continuous improvement mindset).Ability to challenge the project team, good communication and interpersonal skills, and excellent teamwork.
