Organise the day-to-day workflow for DMS and Magenta and liaise with Back Shift DMS Coordinator and the Deputy Site Access LeadProcess site and magenta vehicle booking requestsProcess site visit booking requests on the Visitor Management SystemTake immediate action to resolve DMS Issue Reports received from securityUse Fulcrum, Manhattan and Excel databases to manage the workflow of Magenta booking requestsUnderstand the legal, planning and site specific restrictions which govern the booking processesLiaise with requestors/stakeholders to ensure correct procedures are adhered to in relation to site and magenta bookingsExplain DMS and VMS requirements and timescales to new subcontractors, hauliers and internal stakeholdersEnsure hauliers receive complete and correct route information and site access rules when confirming bookingsBuild and maintain effective working relationships and work with subcontractors, hauliers, client DMS Coordinators, and internal stakeholdersUse relevant systems to source, collate and interpret data as required to resolve queriesFeed back to the Deputy Site Access Lead (and in their absence the Site Access Lead) on trends/issues in relation to magenta and site bookingsManage the monthly forecasting processSend daily reports to internal stakeholdersWork with Deputy Site Access Lead to monitor and improve performance against client KPIsAssist Site Access Lead and Deputy Site Access Lead in understanding, implementing, communicating and managing changes to processes and requirements as requiredAssist the Site Access team in processing requests for Temporary Workers and Shared ResourcesWho are we looking for?
NVQ in Business and Administration (or equivalent qualification) and at least 2 years’ experience in technical administration/coordination rolesA few years of experience in technical administration/coordination rolesMicrosoft Office products, particularly Outlook, Excel, Word, andAdobe Acrobat DCExperience with DMS, VMS and WIMS systems strongly preferred, although training will be provided for the right candidate.Excellent attention to detail skills ensuring all information inputted into the clients system is correct and stakeholders receive accurate communication.Be able to confidently communicate in written and spoken formats, at a variety of levels of technical understanding. You will also need to effectively manage stakeholder expectations, e.g. around timescales as well as ensuring effective communication with the Back Shift DMS Coordinator is maintained at all times.Recognise trends and identify areas for improvement.Effectively prioritise between tasks and work quickly, without compromising on attention to detail.Maintain good working relationshipsWhat’s in it for you?
