Service Coordinator
An exciting opportunity has arisen for a Service Coordinator to join a busy Service Team based in Banbury. This role is ideal for an organised and customer-focused individual who enjoys coordinating activities, managing schedules, and working closely with both customers and internal teams.
Reporting to the Service Manager, you will play a key role in supporting the day-to-day operations of the Service Department. The successful candidate will be responsible for coordinating service visits, supporting engineers, processing quotations and orders, and ensuring customers receive a high level of service throughout their journey.
Duties & Responsibilities
- Process quotations, purchase orders, and order entries accurately and efficiently.
- Coordinate and organise Service Engineer schedules to meet customer requirements and operational priorities.
- Allocate engineers based on location, availability, and skill set requirements.
- Arrange travel and accommodation for UK and international service visits, including flights, hotels, parking, vehicle hire, and transfers.
- Maintain accurate service records and filing systems, ensuring documentation is organised and up to date.
- Support the preparation and issuance of quotations for service visits, training sessions, and service contracts.
- Ensure service documentation and engineer paperwork are submitted promptly and accurately.
- Handle customer enquiries professionally via telephone and email, escalating issues where necessary.
- Work collaboratively with colleagues across departments to ensure timely responses to customer requests.
- Identify opportunities to improve processes and enhance customer service delivery.
- Build and maintain positive working relationships with customers and internal stakeholders.
- Previous experience within a customer service, service coordination, or administrative role.
- Experience within a manufacturing, engineering, or service-based environment would be advantageous.
- Excellent communication and interpersonal skills.
- Strong organisational skills with the ability to manage multiple priorities.
- Good attention to detail and accuracy.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Experience using CRM systems.
- Knowledge of Sage, SAP, or similar ERP/accounting software would be beneficial.
- A proactive and professional approach to problem-solving and customer support.
- Monday to Friday.
- Office-based role in Banbury.
