Job Title: Service Coordinator
We are recruiting for a Service Coordinator to support the scheduling and coordination of reactive, planned preventative maintenance (PPM), and commissioning works within a busy service department. The role requires strong organisational ability, attention to detail, and experience managing complex diaries in a fast-paced operational environment.
Role Overview
The Service Coordinator will be responsible for planning and scheduling engineer workloads, processing service orders, and ensuring all required parts, information, and resources are in place for successful site attendance. You will act as a key point of contact for customers and internal teams, helping to ensure smooth delivery of services from enquiry through to completion.
Key Responsibilities
- Respond to customer enquiries via phone and email
- Prepare and issue accurate quotations for labour and materials
- Process reactive, PPM, and commissioning service orders
- Schedule and allocate engineer work diaries
- Arrange attendance dates with customers
- Ensure engineers have correct job information, parts, and materials before site visits
- Coordinate delivery of parts to site or collection points
- Enter and manage service orders using internal systems (e.g. Sage)
- Maintain accurate scheduling records and job updates
- Follow up quotations and respond to customer queries
- Support resolution of invoice and payment queries with internal teams
- Assist in maintaining customer relationships and identifying service opportunities
- Provide administrative support to the service team when required
Requirements
- Minimum 1 year experience scheduling and managing complex diaries (essential)
- Strong organisational and time management skills
- Confident communication skills, both written and verbal
- Ability to prioritise workload and work across multiple tasks
- Proficiency in Microsoft Office (essential)
- Experience with systems such as Sage, HubSpot, or SharePoint (preferred)
- Ability to problem-solve in operational and technical situations
- Flexible and proactive approach to workload
- Ability to work effectively within a team
