Overview
Our client has a permanent vacancy for a Senior Office Administrator to be responsible for overseeing the day-to-day operations of the office environment, ensuring that it operates smoothly, safely and cost-effectively as well as providing a professional, friendly and efficient reception service to the clients and office. We are looking for a team player with a strong work ethic plus excellent communication, leadership and problem solving skills.Responsibilities
Monitoring and ordering office supplies and new stationery, furniture, first aid equipment, appliances and electronics as requiredTake responsibility for post, franking, and DX services for the office location and assist with the post and courier deliveriesOversee office maintenance, policies and manage health and safety proceduresTake on data responsibilities, including GDPR and off site secure storageManagement of day-to-day on site reception staff including lunch and holiday cover rotaOversee building projects, renovations or refurbishmentsManage facilities contracts and providers for services, including parking, cleaning, security and cateringSupport the firm to achieve goals and credentials such as ISO standards or carbon emission targetsGreeting clients and liaising with the relevant personAnswer the telephone and transfer calls quickly and professionallyAssist with meeting room bookings and update digitallyProvides general administrative supportArrange archiving collections and retrievalsEnsure the office is clean and tidyUndertake any other duties as requiredHealth and Safety tasks
Ensure the office meets government regulations, environmental, health and safety standardsTake responsibility for fire risk assessment, extinguisher maintenance and fire drills for the locationAct as a health and safety representative for the office locationComplete weekly/monthly premises checksManage contractors when in the officeProvide health and safety awareness training to new starters at the locationConduct weekly fire alarm checksEnsure first aid and fire marshal provision and take on the responsibility of ensuring fire safetyRequirements
Proficiency with Microsoft Office, with the ability to support othersExcellent verbal and written communication skillsAbility to define problems, collect data and draw valid conclusionsExperience with office equipment and proceduresSolid understanding of Health and Safety and fire risk assessmentsAn innovator with the ability to use creativity and initiativeStrong reliability and discretion skillsHow to apply
