About the Role
Complete classroom services are looking to recruit an office Manager. The Office Manager plays a vital role at the heart of the school we are working with, ensuring the smooth and efficient running of the office and providing essential support to staff, pupils, parents, and visitors. As the first point of contact for many stakeholders, the Office Manager helps to create a professional, welcoming, and well-organised environment that reflects the school’s ethos and values.
This role requires someone who is highly organised, proactive, and able to balance multiple priorities. You will oversee administrative systems, manage data, support financial processes, and coordinate staff within the office. The position also involves close collaboration with the Headteacher and senior leadership team, contributing to the effective management of the school and supporting its long-term success.
Key Duties:
Administration & Organisation
- Oversee the daily running of the school office, ensuring smooth and efficient operations.
- Line-manage administrative staff, delegating tasks and monitoring workload.
- Maintain accurate school records, including student and staff data, in line with GDPR and safeguarding requirements.
- Prepare and manage correspondence, reports, and documents for senior leaders, governors, and external agencies.
- Coordinate diary management, meetings, and school events.
Finance & Resources
- Assist with budget monitoring, processing invoices, and financial reporting (where required).
- Manage school resources, supplies, and contracts, ensuring cost-effective ordering.
- Oversee office equipment and liaise with suppliers for maintenance and repairs.
Data Management & Compliance
- Manage and maintain the school’s Management Information System (e.g., Bromcom, SIMS, Arbor).
- Ensure statutory returns (e.g., school census, attendance reports) are completed accurately and on time.
- Support safeguarding and child protection processes through secure and confidential record-keeping.
- Maintain compliance with health & safety, data protection, and safeguarding policies.
Communication & Liaison
- Act as the first point of contact for parents, staff, and visitors, ensuring a professional and welcoming environment.
- Draft and distribute school communications, including newsletters, notices, and website updates.
- Liaise with external agencies, contractors, and local authorities as required.
- Provide administrative support to the Headteacher and senior leadership team.
Staff & Pupil Support
- Manage staff absence reporting, cover arrangements, and maintain HR records.
- Support pupil admissions, attendance monitoring, and school transfer processes.
- Organise and oversee reception duties, ensuring effective visitor management and safeguarding procedures.
