Job Purpose

To provide efficient, professional, and welcoming administrative support for the smooth day-to-day operation of the school. The School Administrator will act as the first point of contact for parents, visitors, and staff, maintaining high standards of organisation, communication, and customer service.

Key Responsibilities

Reception & Communication

  • Act as the first point of contact for telephone, email, and face-to-face enquiries.

  • Greet visitors in line with safeguarding procedures and maintain the visitors’ log.

  • Respond promptly and professionally to queries from parents, carers, staff, and external agencies.

Administration

  • Provide general clerical and administrative support including filing, photocopying, and handling correspondence.

  • Maintain accurate pupil records, attendance registers, and databases (SIMS/Arbor or similar MIS).

  • Assist with the preparation of reports, letters, newsletters, and school communications.

  • Support the organisation of meetings, events, and trips, including minute-taking where required.

Finance & Resources (as appropriate)

  • Assist with financial administration such as processing orders, invoices, and petty cash in line with school procedures.

  • Maintain stocks of stationery and resources, placing orders as required.

Pupil Support

  • Provide administrative support for admissions, transitions, and leavers.

  • Support attendance monitoring and follow-up processes.

  • Assist with first aid and welfare duties (training provided if required).

General Duties

  • Uphold confidentiality, safeguarding, and GDPR requirements at all times.

  • Work collaboratively with colleagues to support the wider life of the school.

  • Undertake any other reasonable administrative duties as directed by the School Business Manager or Headteacher.

Person Specification (Essential)
  • Experience of working in an administrative role.

  • Excellent organisational, time management, and multitasking skills.

  • Strong IT skills (Microsoft Office, databases, email systems).

  • Professional communication skills, both written and verbal.

  • Ability to work under pressure, prioritise tasks, and meet deadlines.

  • Friendly, approachable, and professional manner.

  • Commitment to safeguarding, confidentiality, and equal opportunities.

Desirable:

  • Experience of working in a school or educational setting.

  • Knowledge of SIMS, Arbor, or other school MIS systems.

  • First Aid qualification (or willingness to train).
