Location: Donegall Square, Belfast, BT1 5GS Job Type: Temporary, 12 Weeks Hours: 22.5 hours per week Pay: -13.47 per hour
About the Role
We are recruiting on behalf of Belfast City Council for a Reception Administrator (Civic Services) to join the Facilities Management Section within the Legal and Civic Services Department. This is a fantastic opportunity to be the welcoming face of one of Belfast''s most iconic buildings, City Hall, providing an excellent reception and information service to Members, staff, customers, contractors, tourists, and the general public.
Key Responsibilities
- Provide a friendly, efficient reception and information service across Belfast City Council''s city centre premises
- Deal with reception desk enquiries, including displaying and issuing council information
- Issue visitor and contractor passes and provide directions as required
- Assist with the receipt, reconciliation, and safe-keeping of income from retail areas and admission activities, including stock-taking of merchandise
- Handle telephone and in-person enquiries, including making bookings for tours
- Support general administrative duties such as customer support, data input/extraction, and compiling statistics
- Keep visitor information points and public information boards up to date
- Operate internal public address systems and access-control/automated systems as required
- Assist with postal duties, including sorting and distributing incoming mail
- Support the induction and training of new reception staff and temporary cover workers
- Assist visitors and members of the public with evacuation procedures when required
What We''re Looking For
Essential Experience (minimum 1 year in each):
- Providing a reception service, ideally within a large organisation
- Handling enquiries from internal and external customers, both in person and by phone, with a high standard of customer service
Essential Skills & Attributes:
- Strong verbal and written communication skills
- Excellent customer care and presentation skills
- Good organisational and work planning abilities
- Ability to work independently and as part of a team
- Basic proficiency with Microsoft Office packages
- Sound understanding of basic health and safety responsibilities
Qualifications:
- At least 5 GCSEs (Grades A-C), including English, or equivalent
