Salary: £27,000 per annum
Contract: Permanent full time, office based
Hours: 9am – 5.30pm Monday to Friday

An interesting, busy, and varied Property Administrator role has arisen within a well-established firm of Chartered Surveyors, Commercial Property Managers and Residential Block Managers with offices in London, Manchester, and Cheshire.
The role is to provide the Residential and Commercial Property Department with full administration support in conjunction with day-to-day property management services to a varied property portfolio.
We are looking for an organised, hardworking, and dedicated individual to work in our Cheshire office to support our team of Property Managers.
Property Administrator – Key Accountabilities :
• Answering the telephone for the Cheshire and London office, transferring calls, or taking messages and emailing them when necessary.
• Providing range of administrative support to Property Managers and Consultants including data input, typing, filing as required, diary management and general organisation.
• Monitoring and maintaining the Customer Service Inbox.
• Being a point of contract for maintenance and building compliance issues, including liaising with leaseholders, subcontractors and customers to coordinate and schedule repairs and services.
• Communicating with tenants and leaseholders and dealing with day-to-day issues that may arise at the properties.
• General liaison with the accounts teams, leaseholders and customers on day-today accounting matters, including assisting as necessary with issuing annual service charge budgets, monitoring service charge expenditure, sending service charge budget packs/reconciliations out to tenants with covering letters. Issuing purchase orders, verifying invoices and providing reports when required.
• Assisting in setting up new properties on our Property Management Software which will involve extracting relevant information from simple documentation and populating databases. Also the continual maintenance and updating of property information.
• Coordination of utility accounts for managed properties.
• Assisting in managing and responding to leaseholder queries.
• Ability to produce, amend and review spreadsheets and prepare client reports.
• Handling day to day property maintenance including maintaining and processing job sheets following reactive/PPM/compliance visits.
• Occasional site visits and inspections.
Skills and Experience:
• Experience in an office environment; a property environment would be ideal but any professional office environment would be suitable
• An excellent, confident telephone manner
• Highly organised approach and good interpersonal skills
• Team working skills and an all-round positive and committed attitude to your role
• Flexible approach so you will be happy to work for a range of staff as well as being able to manage and prioritise your workload and an ability to work on own incentive.
• Excellent working knowledge of Microsoft Office.
• Excellent attention to detail and a professional approach.
• Excellent time management skills require and an ability to work at times under pressure and to deadline.
• Knowledge of Property Management Software desirable, but not essential.
• Driving license.
