Are you an experienced administrator, comfortable working with property maintenance teams?
My client has an immediate opportunity for a Retrofit & Projects Co-ordinator to join their Property Services Team on an initial temporary basis.
The successful applicant will Provide administration support and monitoring of Retrofit projects to the team delivering low carbon retrofit works and other asset management related projects including telecoms.

Responsibilities:

  • Support the team to ensure that all necessary documents are in place enabling the accurate and timely reporting to regulatory authorities and the prompt receipt of grant funding.
  • Provide administrative support to the Retrofit Contract Surveyors ensuring that communication with both customers and contractors is timely and accurate.
  • Provide asbestos and other necessary reports to contractors for each property in all programmes of work.
  • Ensure that all customers have been provided with the correct information regarding surveys and works that are planned at their property.
  • Arrange appointments for surveys and site visits as requested by the contract team.
  • Ensure jobs are raised showing the works being undertaken and all other internal stakeholders are aware of the programmes of work.
  • Raise all required purchase orders and ensure the correct processing and payment of invoices
  • Attend site events, where applicable, to discuss future works and customer impact with customers, contractors and other external stakeholders.
  • Prepare applications to the Distribution Network Operator in a timely manner to enable the Solar PV works to be completed in line with the retrofit programme.
  • When necessary, arrange for Energy Performance Certificates (EPC) to be completed and the relevant data to be captured after completion of works. Update EPC data with in-house Data Team after completion of works.
  • Collate information to produce monthly PI’s and KPI’s and prepare information to produce monthly PIs and KPIs, as directed by the Retrofit Programme Manager.
  • Manage team e-mail inbox and CRMs, ensuring responses are provided within corporate timescales
Requirements:
  • Willingness to learn and develop towards formal retrofit qualifications. e.g. Level 2: Award in Understanding Domestic Retrofit / Level 3: Award in Domestic Retrofit Advice.
  • Demonstrate excellent communication and presentation skills, both written and oral, with the ability to influence a wide range of individuals at all levels.
  • Proficient in Microsoft Office packages including Outlook, Word and Excel, as well as the ability to build and operate spreadsheets and database to provide “real time” data.
  • Full driving licence and access to own transport or ability to travel in a timely and efficient manner to attend meetings in locations not easily accessed by public transport.
