Project Coordinator

Overall job purpose:
To provide high-quality operational, administrative, and coordination support to a large-scale, multi-partner programme within a higher education environment. Working closely with senior leadership, you will play a key role in ensuring the smooth delivery of project activities, supporting collaboration across academic, professional services, and external partners.
Key responsibilities:
- Act as the first point of contact for project-related enquiries, responding promptly and professionally or escalating where required.
- Support effective communication and information flow between senior leadership, internal teams, and external stakeholders.
- Provide proactive executive and administrative support, including diary management, scheduling, and prioritisation of competing demands.
- Coordinate meetings and review sessions, including agenda preparation, minute taking, and tracking actions through to completion.
- Support the preparation and delivery of project updates, reports, and presentations for both internal and external stakeholders.
- Organise and support events, workshops, and engagement activities, including logistics, communications, travel arrangements, and on-site coordination.
- Assist with the collection, organisation, and analysis of project data to support reporting and decision-making.
- Coordinate and monitor reporting activities across multiple stakeholders, ensuring deadlines and requirements are met.
- Maintain accurate and up-to-date project documentation, records, and databases in line with internal processes.
- Support administrative processes relating to programme delivery, including documentation, tracking changes, and maintaining audit trails.
- Assist with communications and marketing activities, including website updates, content creation, and social media support.
- Coordinate the development of internal and external materials, liaising with relevant stakeholders and suppliers.
- Support procurement processes, including raising purchase requests, tracking orders, and ensuring timely processing of invoices.
- Use internal systems and tools effectively to support efficient project administration and organisation.
- Provide flexible support across the wider team, assisting with additional duties as required during busy periods.
Candidate requirements:
- Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills, with confidence engaging a wide range of stakeholders, including academic and professional services staff.
- Ability to work proactively, using initiative to manage tasks independently.
- Experience supporting projects, programmes, or busy administrative functions.
- Experience coordinating meetings, including minute taking and action tracking.
- Experience organising events or workshops, including logistics and stakeholder coordination.
- Strong attention to detail, particularly when handling data, documentation, and reporting.
- Good IT skills, including Microsoft 365 and experience using University systems or databases.
- Ability to handle confidential and sensitive information appropriately.
- Flexible, adaptable, and comfortable working in a complex organisational environment.
Desirable:
- Experience working within higher education or a similar complex organisation.
- Experience in communications, marketing, or digital content (e.g. website or social media updates).
- Experience supporting funded projects, programmes, or partnerships.
- Exposure to procurement or finance-related administrative processes.
