Compliance & Project Administrator

Location: Livingston

Pay: -17-19ph

Hours: Mon-Fri - 36 hours - fully office based - no hybrid option
Contract: Project role until the end of March 2027

We''re looking for an organised, proactive and customer-focused Compliance & Project Administrator to join a busy Asset Management team in Livingston. This is a fantastic opportunity for someone looking to join an important and fast-moving project, becoming a key member of the team and seeing the programme through to its completion at the end of March 2027.

You''ll provide essential administrative and operational support across multiple teams, helping to coordinate works, maintain accurate compliance records and ensure customers are kept informed throughout.

This is much more than a traditional administration role. You''ll be a key point of contact for customers, contractors and colleagues, helping to keep works progressing and ensuring the right information is in the right place at the right time.

What you''ll be doing

Working closely with the RAAC Manager, Tenant Liaison Officer and Asset Compliance Officer, your responsibilities will include:

  • Acting as a first point of contact for customers regarding RAAC works, providing a professional, helpful and reassuring service.
  • Supporting the delivery of the RAAC programme by raising works orders, liaising with customers and keeping records up to date.
  • Providing comprehensive administrative support across Asset Management, Reactive Repairs, Compliance and the RAAC Project Delivery Team.
  • Assisting with the planning and coordination of compliance inspections.
  • Updating CRM and property management systems and ensuring certificates and documentation are accurately recorded and filed.
  • Processing work orders, variations and appointments within agreed timescales.
  • Liaising regularly with contractors, suppliers and internal teams to keep works moving forward.
  • Reviewing data and contractor information to identify outstanding actions and maintain accurate records.
  • Producing information and reports to support performance monitoring and audit requirements.
  • Preparing correspondence, information packs, purchase orders and other documentation.
  • Maintaining asset registers, document control and Health & Safety records.
  • Providing occasional onsite support to colleagues and customers as required.
  • Helping to resolve day-to-day queries and escalating more complex issues to the appropriate colleague.

What we''re looking for

We''d love to hear from candidates who have:

  • Previous experience in an administrative or coordination role.
  • Experience providing excellent customer service.
  • Strong organisational skills and the ability to manage a varied workload.
  • Confidence prioritising tasks and working to deadlines in a busy environment.
  • Good IT skills, particularly Microsoft Word and Excel.
  • Experience with basic financial administration, purchase orders or similar processes.
  • Excellent attention to detail and a commitment to maintaining accurate records.
  • Strong written and verbal communication skills.
  • A proactive, positive and enthusiastic approach.
  • The confidence to work independently while also being a strong team player.
  • A driving licence and access to a car for work purposes.

Previous experience within housing, property management or asset management would be an advantage, as would experience using a computerised housing management system, but these are not essential.
