Job Description:

The Production Administrator is responsible for collecting, recording, validating, and reporting production data across the companies manufacturing operations. The role focuses on monitoring yields, waste, production outputs, and key operational metrics, ensuring that factory performance information is accurate, timely, and reliable.

The position will conduct routine audits of production records, analyse performance data, and provide management with clear reporting to support operational decision-making.

Key Responsibilities

Monitoring, Data collection & Reporting

  • Record and monitor production yields across all manufacturing departments.
  • Track yield performance against established standards and targets.
  • Investigate and document yield variances.
  • Maintain accurate yield records and reporting systems.
  • Gather production data from manufacturing operations.
  • Record production outputs, waste levels, downtime, and throughput information.
  • Produce daily, weekly, and monthly performance reports.
  • Generate KPI reports and trend analysis for management.
  • Ensure all reporting is accurate, timely, and consistent.

Auditing & Verification

  • Conduct routine audits of production records and data collection processes.
  • Verify the accuracy and completeness of production paperwork and system entries.
  • Identify discrepancies and work with operational teams to resolve them.
  • Support internal and external audits by providing accurate production information.

Performance Analysis

  • Analyse production data to identify trends, variances, and opportunities for improved reporting accuracy.
  • Monitor key factory metrics including:
  • Yield
  • Waste
  • Production Output
  • Downtime
  • Material Usage
  • Prepare summaries and reports for management review.

Essential Skills & Experience

  • Experience working in a food manufacturing or production environment.
  • Strong numerical and analytical skills.
  • Excellent attention to detail.
  • Proficiency in Microsoft Excel and Microsoft Office.
  • Ability to collect, organise, and interpret production data.
  • Strong communication and organisational skills.

Desirable Skills & Experience

  • Previous experience in production reporting, yield analysis, or factory administration.
  • Experience using ERP or production management systems.
  • Knowledge of manufacturing KPIs and production performance measures.

Methodical and highly organised.

Detail-focused with a commitment to data accuracy.

Confident working on the factory floor and within an office environment.

Able to work independently and manage multiple reporting deadlines.
