Practice Operations Coordinator
About the role
A growing professional consultancy is looking to appoint a Practice Operations Coordinator to help improve the way the business operates day to day.
This is a newly created position and will suit someone who is highly organised, proactive and enjoys taking ownership. The role will work closely with the Managing Director and wider team, helping to introduce better systems, improve processes and provide reliable operational support across the practice.
This is not a traditional administration role. The successful candidate will have the opportunity to make a genuine impact on how the business operates and develop the role as the practice grows.
Key responsibilities
- Take ownership of general practice and operational administration
- Support the Managing Director with diary management, meetings, correspondence and follow-up actions
- Help establish and maintain effective internal systems and processes
- Support invoicing, debt collection, expenses and financial administration
- Provide additional support and resilience around Sage and liaise with external accountants where required
- Coordinate timesheets and help improve visibility of project performance and resource utilisation
- Assist with project set-up, document control, bids and proposals
- Identify areas where processes can be improved and reduce unnecessary manual administration
- Create and maintain clear procedures to ensure key processes have appropriate backup
- Produce straightforward operational and management information
- Provide wider support across the practice as required
About you
The ideal candidate will be someone who is confident taking ownership rather than waiting to be told what to do. You will be comfortable managing a varied workload, improving existing processes and working closely with senior professionals.
You will ideally have:
- Previous experience in an operations, practice coordination, business support or senior administration role
- Strong organisational and time-management skills
- Experience supporting Directors or senior professionals
- Good Excel, Word and Outlook skills
- Experience with invoicing, financial administration or commercial information
- Sage or similar accounting software experience would be advantageous
- A proactive approach to improving systems and processes
- Excellent communication and attention to detail
- The ability to work independently and manage competing priorities
