Postgraduate Administrator

Full time |  37.5 hours per week  |  Cambridge

The role

A well-established Cambridge college is looking for a Postgraduate Administrator. This is a varied, people-facing role at the heart of college life, supporting postgraduate students from the moment they apply right through to graduation.

You''ll be the go-to person for postgraduate students on all things administrative and financial, working closely with Tutors and teams across the college including Health & Wellbeing, Finance and Accommodation. No two days will look the same: one moment you might be processing admissions applications, the next you could be advising a student on visa requirements, preparing papers for a scholarship committee, or helping organise a graduation ceremony.

It''s a role that combines process and people. You''ll need to be comfortable with detailed administrative and financial work, while also being a warm, reliable point of contact for students who may be navigating an unfamiliar system for the first time.

What you''ll be doing
  • Admissions and matriculation – processing applications, liaising with the Postgraduate Admissions Office and other bodies, keeping records accurate, and helping organise events such as the college''s Postgraduate Open Day and ceremonies
  • Visa and immigration compliance – acting as the lead on visa and immigration matters for students, working alongside the International Student Office
  • Student support – being the first point of contact for postgraduate queries, providing letters and information, and helping organise academic and social events
  • Finance – maintaining funding portals and spreadsheets, processing scholarship and grant applications, liaising with external funding
  • Student records – keeping databases up to date, maintaining secure student files, and liaising with Student Registry and other internal teams
  • Committee and tutor support – acting as secretary for postgraduate-related committees, minute-taking, and providing general administrative support
What we''re looking for
  • Excellent communication skills and a genuinely helpful, service-minded approach
  • The ability to manage a varied workload independently, while also working well as part of a team
  • Strong IT skills, including confidence with Outlook, Word, Excel and databases
  • Financial literacy, with experience using spreadsheets to track income and expenditure
  • Meticulous attention to detail and a methodical, organised approach
  • The ability to handle sensitive and confidential information appropriately, in line with GDPR
  • A genuine commitment to supporting students

It would be an advantage, though not essential, if you have previous working experience within a college or university.

Why apply

This is a chance to play a genuinely meaningful role in student life at one of Cambridge''s historic colleges — supporting postgraduates through some of the most important years of their academic careers, whilst working within a close-knit, collaborative team.
