Personal Assistant
Are you an experienced PA or Executive Assistant with previous litigation experience?
We are currently recruiting for an exciting 12-month fixed-term PA opportunity based in Edinburgh.
This is a fantastic opportunity for an experienced PA to provide high-quality, proactive administrative and secretarial support within a busy and professional working environment.
The Role
The successful candidate will provide effective and efficient PA support, managing a varied workload and ensuring that all tasks are completed accurately and within required deadlines.
The role will involve supporting senior colleagues with diary and inbox management, document preparation, meetings, travel arrangements, client communication and financial administration.
Key Responsibilities
- Provide comprehensive PA and secretarial support to senior colleagues.
- Prepare, format and proofread correspondence, documentation and presentations.
- Draft correspondence and documents on behalf of senior colleagues.
- Produce and amend large and complex documents, including using track changes and document comparison tools.
- Assist with the preparation of relevant documentation for court when required.
- Manage busy diaries, arrange meetings and coordinate meeting requirements.
- Organise meetings, including rooms, technology, catering and attendees, and take minutes where required.
- Manage inboxes and correspondence, including providing cover during periods of absence.
- Manage client and matter administration, ensuring relevant processes and documentation are completed accurately.
- Liaise with internal departments to coordinate finance, IT, facilities and other administrative requirements.
- Support billing and invoicing processes, including dealing with queries and purchase orders.
- Process expenses and assist with accurate time recording.
- Arrange travel, accommodation and detailed itineraries.
- Maintain accurate client and contact information.
- Assist with filing, scanning, document management and archiving.
- Build and maintain effective working relationships with colleagues, clients and external contacts.
- Provide wider administrative support as required.
- Undertake ad hoc administrative duties and projects when required.
- Previous experience as a PA or Executive Assistant.
- Previous litigation experience is essential.
- Excellent organisational and time-management skills.
- Strong attention to detail and a high level of accuracy.
- The ability to manage competing priorities and work effectively to deadlines.
- Excellent written and verbal communication skills.
- A proactive and flexible approach.
- Strong IT skills and confidence using Microsoft Office and other business systems.
- The ability to work independently while also contributing effectively to a wider support function.
