Our client, a leading organisation in the renewable energy sector, is seeking a Personal Assistant to Director Operations for a contract opportunity. The role provides comprehensive administrative, organisational and communication support to two Directors of Operations, helping to coordinate daily business activities and contribute to operational excellence across an international environment.
Key Responsibilities:
- Manage the secretariat function for the Directors of Operations, including complex diary management, inbox management and prioritisation of business matters.
- Plan and coordinate internal and external meetings, workshops and events, including virtual and in-person sessions.
- Arrange national and international business travel, prepare itineraries and manage travel expenses and related administration.
- Support procurement activities, including ordering IT equipment and personal protective equipment, processing invoices and assisting with purchasing processes.
- Prepare, coordinate and quality-assure presentations, reports, decision papers and other business documentation.
- Provide administrative and coordination support for smaller projects, including tracking actions, timelines, invoices and payment processes.
- Act as a key point of contact for stakeholders, supporting clear communication and effective collaboration across teams and functions.
- Assist with ad hoc tasks, special assignments and department-led initiatives as required.
Job Requirements:
- Commercial vocational training or an equivalent qualification, supported by experience in personal assistance, executive assistance or administrative support.
- Experience supporting senior leaders within an international business environment.
- Strong administrative, organisational and coordination skills, with the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills, with confidence communicating professionally with stakeholders at all levels.
- Advanced proficiency in Microsoft Office and SAP.
- High attention to detail, sound judgement and the ability to maintain confidentiality.
- A proactive, adaptable and service-oriented approach, with the ability to work independently in a fast-paced environment.
- Strong interpersonal skills and a collaborative working style.
