About the Role

We''re recruiting a Permit to Work Officer to join the Estates and Facilities team at a leading London university. You''ll be based on their Mile End campus, a large multi-building estate of teaching, research, residential and sports facilities. You''ll be the central point of contact for every permit issued to contractors working across the site.

You''ll run the university''s electronic permit to work (PTW) and contractor access system. That means making sure all planned, reactive and minor works are carried out safely, correctly documented and in line with approved risk assessments and method statements. It''s a key role in maintaining a strong health and safety culture across a busy, high-profile estate, working closely with the Health and Safety, Security and Hard Services teams.

Key Responsibilities

• Managing and administering the electronic PTW and contractor site access system
• Reviewing and issuing permits for high-risk activities such as hot works, working at height, confined spaces and electrical isolations
• Checking contractor competency, insurance and RAMS before any works begin
• Coordinating contractor access with building managers and end users to minimise disruption, including issuing access passes, cards and plant room keys
• Carrying out site visits and spot audits to make sure contractors are working within permit conditions, and suspending unsafe works where needed
• Keeping accurate records on the CAFM system and helping to improve PTW procedures and safe systems of work

Requirements

• IWFM (formerly BIFM), CIOB or equivalent Level 4 qualification (essential)
• IOSH Managing Safely or equivalent (essential)
• Proven experience managing PTW systems in an FM or multi-disciplinary engineering environment
• Experience on a large multi-building site, ideally in higher education or a similar setting
• Strong knowledge of risk assessments, method statements and health and safety legislation
• Confident communicator, comfortable working with contractors and stakeholders at all levels
