Operations Administrator

CJS Recruitment are seeking an experienced Operations Administrator to support the day-to-day running of the operations team. This pivotal role ensures the smooth coordination of reactive jobs, supports field teams, manages client communications and maintains accurate operational records. you will play a critical part in enabling the company to deliver efficient, timely and compliant services in often high-pressure enviroments.-
KEY RESPONSIBILITIES:
- Coordinate incoming job requests and schedule reactive work accordingly-
- Liaise with clients to confirm job details, requirements, access and timelines-
- Support Operations-and Field engineers with resource allocation, equipment logistics and staff coordination-
- Maintain job tracksing systems, ensuring all paperwork, risk assessments and compliance documentation are accurate and up to date
- Process reports from opertives and prepare client-ready documentation including job completion reports, photos and invoices-
- Ensure all Health & Safety and industry compliance standards-are met and documented-
- Manage and update CRM and job management software-
- Monitor stock levels of specialist supplies and PPE placing orders when necessary-
- Provide general administrative support to the operations department-
- Respond to urgent queries and esclate-operational issues when necessary-
REQUIREMENTS:
- Proven experience in an adminstrative or operations role, ideally within a reactive enviroment-
- Strong understanding of reactive jobs scheduling and coordiantion under tight timeframes-
- Excellent organisational and time managment skills-
- Proficient in Microsoft Office and job Management software-
- Excellent commuincation skills - both written and verbal-
- High level of accuracy and attention to detail-
- Ability to remain calm and effective in high-pressure, fast moving situations-
