We''re looking for a Facilities & Office Manager to take ownership of our workplace environment, ensuring everything from building systems to team support runs smoothly in our vibrant architecture studio. This is a pivotal role where you''ll combine hands-on facilities management with office operations, creating a safe, efficient, and inspiring workspace for our team.

We are an award-winning architecture studio dedicated to delivering exemplary architecture, masterplanning, and interior design.
Location:
Southwark, London - Closest station is Elephant & Castle (Fully office based)
What We Offer:
- Competitive annual salary ranging from -50,000 to -55,000
- A permanent contract with a supportive team environment

- Rotating shift pattern (8:00am-4:30pm / 9:00am-5:30pm)
Your Role:
As our Office Manager, you will report directly to the Finance Director and oversee the day-to-day operations of our office. Your multifaceted responsibilities will include:
Office Management
- Ensure efficient office operations, managing supplies, equipment, and vendor relationships.
- Handle general administrative duties: scheduling meetings, managing calendars, and travel arrangements.
- Maintain office policies and ensure compliance for a productive work environment.
- Be the friendly first point of contact for visitors, clients, and vendors.
- Continuously monitor and improve office procedures for maximum efficiency.
Facilities Management
- Oversee all building systems, ensuring functionality and safety.
- Manage cleaning services to maintain high standards of hygiene.
- Supervise contractors and respond promptly to facility-related emergencies.
- Coordinate maintenance schedules and space planning activities.
- Implement sustainability initiatives to enhance our workplace.
- Act as the key point of contact for building management, contractors, and suppliers, ensuring issues are resolved quickly and effectively.
- Oversee all building systems (HVAC, IT infrastructure) to maintain functionality and safety.
- Serve as the 24-hour emergency contact for facilities and security matters.
Health & Safety
- Act as the go-to person for health and safety matters.
- Review risk assessments and keep health and safety policies up to date.
- organise training and emergency preparedness plans for staff.
Management of Admin Team
- Lead and mentor the administrative team, fostering a positive culture.
- Allocate tasks efficiently to ensure smooth workflow.
- Conduct performance reviews and training sessions regularly.
Human Resources Support
- Assist with recruitment processes and onboarding of new employees.
- Maintain employee records in compliance with legal standards.
- Serve as a point of contact for HR queries.
Key Skills Required:
- Strong organisational and time management abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite
- Familiarity with HR software and databases
- Detail-oriented with a focus on confidentiality and accuracy
The Ideal Candidate will be:
- People-oriented
- Experienced in managing teams (especially. admin teams)
- Well-rounded facilities management knowledge
- Health & Safety experience (policies, compliance, training)
- Understanding of ISO auditing principles
- Confident communicator & relationship builder
- Ideally with previous HR experience or capacity to cover HR Manager as needed
- Willing and able to be on-call for emergencies/security issues
