Job Title: Office Coordinator (Part-Time)
Location: The Strand, London
Start Date: 9th September (ideal)
Pay Rate: -1821 per hour
Hours: Part-Time, 20 hours per week (across 4 days - Monday to Thursday, 9am-1pm or 10am-2pm)
Work Pattern: Fully in-office

About the Role

We are seeking a proactive and highly organised Office Coordinator to join our team on a part-time basis. Acting as the main point of contact for the office, you will ensure smooth day-to-day operations, provide excellent front-of-house support, and assist with office and event coordination. This is a client-facing role that requires independence, reliability, and a flexible approach to business needs.

Key Responsibilities

  • Manage visitor experience including building access approvals, welcoming guests, and handling deliveries.
  • Oversee badge management - distribution, collection, and access.
  • Order and manage office supplies (stationery, ergonomic equipment, kitchen provisions, etc.) and groceries.
  • Prepare and submit monthly expense reports for all operations expenses.
  • Coordinate internal communications regarding office disruptions, notices, and updates.
  • Provide support with conference room bookings and calendar scheduling.
  • Assist with internal events - communications, catering orders, and on-the-day setup.
  • Support office safety, emergency response, and floor warden programmes.
  • Manage shipping and receiving - sorting mail, handling incoming deliveries, and organising outgoing shipments.
  • Conduct regular floor walks to identify, log, and escalate issues requiring service, repairs, or partner support (IT, Corporate Security).
  • Monitor and escalate tickets using the AskREW Jira system.
  • Support IT with stock management, equipment testing, and shipments.

Skills & Experience Required

  • Previous experience in an office coordination, workplace operations, or facilities support role.
  • Confident working independently as the main point of contact for the office.
  • Strong organisational skills and attention to detail.
  • Excellent communication and client-facing skills.
  • Flexible, proactive, and able to adapt to changing business needs.
  • Comfortable working fully in-office and committed to part-time hours (20 hours per week).
