About the Role
We are seeking an experienced and highly organised Maintenance Planner / Scheduler to join their growing team. The successful candidate will play a key role in coordinating engineers across the HVAC, Plumbing and Electrical sectors, ensuring planned and reactive maintenance activities are delivered efficiently and to a high standard.
This role requires excellent communication, scheduling and problem-solving abilities, with previous experience using the Job logic system being highly desirable.
Key Responsibilities
- Efficiently schedule and coordinate engineers across HVAC, plumbing and electrical disciplines.
- Manage incoming client calls and maintenance requests, ensuring timely allocation of resources.
- Plan and organise reactive and planned maintenance works to maximise operational efficiency.
- Resolve planning and scheduling issues to minimise disruption to service delivery.
- Manage permit requirements and ensure all necessary documentation is in place prior to works commencing.
- Liaise with subcontractors and coordinate their attendance where required.
- Provide regular progress updates to clients and maintain strong customer relationships.
- Prepare and manage quotations for maintenance and additional works.
- Order materials and parts required for engineers and projects.
- Arrange and coordinate meetings, briefings and workload planning sessions for engineers.
- Proactively schedule future maintenance works and ensure service delivery commitments are met.
- Promptly address client concerns and provide effective solutions.
- Monitor contract performance against agreed service level targets and KPIs.
- Support the management and performance of engineering teams through clear communication and objective setting.
- Assist with training and development initiatives where required.
- Manage correspondence efficiently and maintain accurate records within internal systems.
- Ensure projects and maintenance activities are completed within required timescales and contractual obligations.
Essential Experience & Skills
- Previous experience in a Planner, Scheduler, Service Coordinator or similar role.
- Previous experience using job logic software.
- Experience scheduling engineers within the HVAC, Plumbing and Electrical sectors.
- Strong organisational and time management skills.
- Excellent communication and customer service abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience resolving scheduling and operational issues effectively.
- Strong administration skills and attention to detail.
