Role Overview

We are seeking a proactive and highly organised Facilities & Office Manager to oversee the smooth day-to-day running of our Central London office and building. This is a hands-on role that blends building operations, facilities management, and health & safety compliance with wider office administration, team leadership, and HR support.

The successful candidate will act as the central point of contact for all things workplace, ensuring a safe, efficient, and well-functioning environment for staff, while also managing contractors, service providers, and an admin team.

Key Duties & Responsibilities

Facilities Management & Building Operations

  • Oversee the daily running of building systems including HVAC, electrical, plumbing, fire safety, and security
  • Demonstrate strong working knowledge of building services and controls - including BMS (Building Management Systems), FCUs (Fan Coil Units), HVAC systems, and other core building infrastructure
  • Monitor and optimise building performance through BMS data, proactively identifying issues and escalating where necessary
  • Work closely with external contractors, engineers, and service providers to maintain all critical building systems
  • Oversee cleaning, janitorial, and building services to maintain an excellent workplace environment
  • Respond promptly to maintenance issues, facilities-related emergencies, and service requests
  • Coordinate building inspections, planned preventative maintenance (PPM), and repair works
  • Manage access control, building security procedures, and emergency protocols
  • Lead space planning, office moves, and reconfigurations
  • Support sustainability initiatives and implement energy-saving measures, with awareness of how building systems impact carbon reduction and efficiency

Health & Safety Compliance

  • Act as the primary contact for all health & safety matters within the office
  • Conduct and review risk assessments, ensuring full compliance with H&S legislation
  • Maintain and update H&S policies and procedures, in collaboration with the H&S committee
  • Organise fire drills, first aid, and emergency preparedness training
  • Monitor incident reports, hazards, and near misses, ensuring corrective actions are taken
  • Maintain training records and ensure all staff are fully briefed and compliant with safety protocols.

Office & Administration Management

  • Manage daily office operations including supplies, equipment, and vendor relationships
  • Implement and maintain office policies and procedures, driving efficiency and compliance
  • Oversee office budgets, invoices, procurement, and cost controls
  • Provide administrative support including diary management, meeting scheduling, travel bookings, and correspondence
  • Act as the out-of-hours emergency contact for facilities or building issues

Leadership & Team Management

  • Line-manage the admin team, providing mentorship, guidance, and professional development
  • Allocate tasks, monitor performance, and ensure service delivery meets agreed SLAs
  • Conduct appraisals, regular 121s, and team meetings to support collaboration and engagement
  • Foster a positive, proactive team culture that prioritises service, communication, and results

HR Support & Employee Experience

  • Support recruitment processes, interview scheduling, and onboarding of new employees
  • Maintain HR records and ensure compliance with employment standards
  • Act as a point of contact for employee queries regarding HR policies and procedures

About You

  • Proven experience in a Facilities Manager, Building Manager, or Office Manager role with strong facilities responsibilities
  • Solid understanding of building systems, contractor management, and H&S compliance
  • Confident in managing budgets, suppliers, and service contracts
  • Strong leadership skills with experience managing or mentoring a small team
  • Proactive, adaptable, and calm under pressure with strong problem-solving ability
  • Excellent communication skills with the ability to build relationships
