Executive Assistant to the Director
Manchester
Circa £40,000 per annum (dependent on experience)

Full-time (35 hours), Permanent
The Role:
We’re looking for an experienced and highly organised Executive Assistant to support the new Director of a leading scientific research institute based in Manchester. This is a fast-paced, high-profile role at the centre of a nationally and internationally recognised organisation, where no two days are the same. You’ll provide full executive support to the Director, managing a busy diary and inbox, coordinating UK and international engagements, drafting key documents, and acting as a trusted point of contact for senior stakeholders across science, academia, healthcare and government.
You''ll also take the lead on streamlining day-to-day operations within the Director’s office, project managing key initiatives, and supporting high-level meetings, visits and events.
We’re looking for someone confident, diplomatic and proactive, with excellent judgement, attention to detail and a calm, professional approach. It’s a unique opportunity to work closely with a senior leader in a world-class environment and make a real impact.
Duties include:

  • Managing the Director’s complex calendar and aligning internal and external priorities.
  • Monitoring and managing a high-volume inbox with discretion and efficiency.
  • Preparing agendas, briefings, meeting papers and following up on actions.
  • Booking national and international travel and preparing detailed itineraries.
  • Drafting and editing high-level correspondence, reports and presentations.
  • Acting as a gatekeeper with senior stakeholders including funders, public figures and partner organisations.
  • Supporting Board-level engagement, including liaising with the Chair and members.
  • Maintaining up-to-date records including CVs, publication lists and confidential documentation.
  • Coordinating internal meetings and high-profile visits.
  • Taking and distributing formal minutes.
  • Supporting wider operational projects, events and general administrative duties.
  • Upholding high standards of confidentiality and professionalism at all times.

What we’re looking for:

  • Substantial experience supporting a senior executive or leadership figure in a complex setting.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Advanced organisational skills with the ability to manage multiple priorities.
  • High level of discretion, sound judgement and problem-solving ability.
  • Proficiency in Microsoft Office, Outlook and Teams.
  • Proactive, flexible and calm under pressure.
  • Educated to degree level or equivalent experience in a similar role.
  • Experience in a research, academic, clinical or not-for-profit environment is desirable.
