Role: Executive Assistant
Contract: 2 months temporary
Pay: -20 - -23 per hour
Hours/Days: Monday - Friday, 9am-5pm
Location: Canary Wharf
Purpose of the Role
To provide high-level administrative support to the Chief Executive, Chair, Corporate Management Team (CMT), and Corporate Services directorate. The role requires excellent organisation, confidentiality, and communication skills, acting as the first point of contact for the CEO and Chair internally and externally.
Key Responsibilities
- Act as the first point of contact for the CEO and Chair, handling calls, enquiries, visitors, and requests.
- Manage the CEO''s diary, appointments, and travel arrangements (national and international).
- Anticipate and coordinate support needs for the CEO, including actions, deadlines, and priorities.
- Support with Board, CMT, and corporate events, including meeting organisation, agendas, minute-taking, and logistics.
- Prepare correspondence, reports, agendas, and presentations for the CEO.
- Handle confidential information and manage external stakeholder relationships (e.g. MPs, councillors, board members, senior personnel).
- Process invoices, expenses, and maintain budget oversight for the CEO.
- Coordinate cover to ensure CEO support is available at all times.
- Manage specific projects on behalf of the CEO as required.
- Assist the Senior Executive Assistant with Board meetings, events, and wider corporate support.
Skills & Competencies
- Strong organisational and prioritisation skills.
- Ability to maintain strict confidentiality.
- Minute-taking, dictation, and typing speed of 60wpm.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, including PowerPoint.
- Strong interpersonal skills with the ability to liaise at all levels.
- Flexible, adaptable, and able to work in a fast-paced environment.
- High attention to detail with excellent spelling, grammar, and punctuation.
Experience
- Previous experience supporting at senior/CEO level in a fast-paced environment.
- Proven track record of delivering results under pressure.
- Experience managing events, meetings, and complex diaries.
- Experience handling confidential and sensitive information.
Knowledge
- Understanding of Data Protection and GDPR.
- Knowledge of event management.
- Ability to research, analyse, and present information effectively.
