Job Title: Events Manager - ARU Chelmsford Campus

Campus: Chelmsford campus

Job Purpose: To lead on the planning and delivery of key institutional events including the Chelmsford Science Festival, amongst others which support the University’s strategy. To develop and maintain positive and mutually beneficial relationships with key internal and external stakeholders and suppliers.

Start Date: ASAP

Proposed End Date: 12th December

Hours: Full time - additional hours including evening and one weekend during the Chelmsford Science Festival in October

Rate of pay: £20.10ph

Duties:

  • To lead the planning and operational delivery of key events in the ARU calendar including the annual Chelmsford Science Festival.
  • To support the wider Events strategy and work closely with the Senior Events manager on the planning and delivery of events of high institutional importance as they arise, including but not limited to, Research conferences, celebration days, awards dinners, launch events and corporate sponsorship opportunities.
  • To ensure optimal planning of the Chelmsford Science Festival to ensure it: creates a meaningful brand experience by offering stand-out festival events/activities that are impactful, interactive and engaging; establishes a legacy for science engagement in Essex and facilitates lasting relationships between ARU, researchers, partner organisations, sponsors, and the local community.
  • To support the Senior Event manager in the creation and implementation of event strategies and policies.
  • To have oversight of processes and procedures, working with stakeholders and sponsors, sourcing and booking venues, liaising with suppliers, coordinating invitations, managing and briefing staff at the event, budget tracking, and producing briefings for senior colleagues.
  • Work at the events as the event lead, including; overseeing the set-up, organising and managing volunteer staff; dealing with queries; liaising with staff and students.
  • Be responsible for qualitative and quantitative post-event analysis for reporting and introducing innovative new ideas for our events, ensuring that our events are innovative and up to date with current trends.
  • Collate and report on event attendee feedback using insights to inform future activity.
  • Manage the budget for Events, providing structured input into budget planning processes and actively contribute to resource and budgetary planning processes within areas of responsibility.
  • Undertake evening and weekend work as required, including overnight stays for some events.
  • Ensure compliance with health and safety and other relevant legislation together with good practice within all areas of responsibility, maintaining robust administrative and audit processes. Review and adapt event risk assessments as necessary, ensuring they meet the required standard.
  • To support the wider events team on key strategic events as they arise through the calendar year. This may include attending events outside of the above remit to provide on the day support at events such as Open days and Graduations.
  • Comply with Data Protection Act 2018 and GDPR requirements in all working practices maintaining confidentiality, integrity, availability, accuracy, currency and security of information as appropriate. Take personal responsibility for all personal data within own working environment.
