Event Production Manager – Convene

The Event Production Manager reports to the Venue Manager and acts as the primary point of contact for clients during the planning process, coordinating with on-site event, technology, and control room teams to ensure a seamless meeting event experience from start to finish. The role supports hybrid, virtual, and physical meetings and upholds Convene’s hospitality standards at all times.What You’ll Do

Plan and oversee meetings programs across physical, hybrid, and virtual formats.Communicate effectively with clients, associates, and all Convene departments in a courteous, service-oriented manner.Listen to and clarify concerns from associates and clients.Serve as a pre-sales support function for the Sales team, advising on deadlines and requirements; assist with room diagrams, photos, and facility insights; help relationship managers move clients through the contract phase.Develop event timelines and communicate pre-production deadlines.Schedule and host kick-off calls with clients.Act as the primary client contact leading up to the day of the event.Prepare and distribute room diagrams; finalize menus and timing with the culinary and service team.Collaborate with AV Production to plan run of show for physical, hybrid, and Studio Events; host Run of Show reviews with AV Production and Event Operations Manager.Oversee execution of tasks by the Event Operations Team; assign and manage event tasks in project management tools; ensure tasks are completed to standard and on time.Create and maintain detailed event documentation; produce PEOs, program diagrams, and invoices.Collect livestream platform details (agenda, speaker details, sponsor details, collateral); manage client expectations on available features; inform future platform enhancements with Product and Design teams.Conduct pre-event and post-event debriefs; follow up on post-event deliverables.Hold weekly event and PEO meetings; provide status updates on pre-production milestones to internal and external stakeholders.Supervise calculation of program checks with client approval and signatures; ensure collection of all program balances.What We Look For

3+ years in a customer-facing role.Experience in event planning and project management.Comfort with web-based collaboration tools (e.g., Slack, Salesforce, Smartsheets, Google Suite).Familiarity with SaaS and event/platform/video/web conferencing is a plus.Strong business acumen and ability to stay calm under pressure.Natural problem solver, focused on meeting customer needs.Able to multitask and focused on customer satisfaction.Why Convene
