Department Administrator
We are seeking an experienced and highly organised Department Administrator to provide comprehensive administrative support to a busy department. A key part of this role is attending meetings, producing accurate minutes, and ensuring actions and documentation are distributed promptly. This position would suit a candidate with proven minute-taking experience who is confident working in a fast-paced professional environment.

Location: Liverpool City Centre
Hours: 8:30am-4:30pm (35 hours per week)
Pay: -16.50 per hour
Start Date: ASAP
Duration: 5 Months
Main Responsibilities
- Attend departmental meetings and provide accurate, timely minute-taking, transcription, and distribution of meeting notes and supporting documentation.
- Manage meeting logistics, including scheduling meetings, booking rooms, arranging hospitality, visitor parking, and preparing meeting packs.
- Provide administrative support across the department, maintaining systems and acting as the point of contact for sickness absence reporting and recording.
- Maintain diary management systems and coordinate travel, conference, and hotel bookings.
- Produce and format professional documents, spreadsheets, reports, and presentations using Microsoft Office.
- Handle incoming enquiries by telephone, email, and in person, resolving queries where appropriate.
- Meet and greet visitors, ensuring a professional and welcoming experience.
- Print, scan, photocopy, distribute documents, and manage incoming and outgoing correspondence.
- Ensure actions arising from meetings are accurately recorded and followed up where required.
Essential Requirements
- Extensive experience of minute-taking in formal meetings, with the ability to produce accurate and detailed minutes to tight deadlines.
- Excellent listening skills, attention to detail, and the ability to capture key discussions, decisions, and actions.
- Proven administrative experience within a busy office environment.
- Strong organisational skills with the ability to prioritise competing demands.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Experience managing diaries, meetings, and events.
- Professional and confident approach when dealing with enquiries and visitors.
- Accurate record-keeping skills and a high level of confidentiality.
